Role Overview
A global digital media company is looking for a highly resourceful Executive Assistant to provide senior-level support to its CEO and Founder. In this role, you will act as the executive’s operational backbone, partnering with the Chief of Staff in a fast-moving and expanding environment. The ideal person is highly proactive, detail-driven, and able to maintain a complete view of the CEO’s priorities, commitments, and communications.
Work Location and Schedule
This position is based in New York City near Union Square. The CEO spends approximately 30% to 40% of the year traveling, and during those periods the role can be performed remotely. When the CEO is in town, the expectation is to work from the office five days per week. Typical working hours are around 8:30 AM to 5:30 PM. This is not a constant on-call role, but prompt response is expected when urgent issues come up.
Key Responsibilities
You will manage the CEO’s highly dynamic calendar, coordinate meetings across international time zones, oversee global travel arrangements, and serve as a central point of communication for internal and external stakeholders. You will also help maintain strong professional relationships across the organization, provide limited personal assistance, and use modern productivity tools to improve workflow efficiency.
Experience and Profile Needed
The employer is seeking someone with a strong background supporting a CEO, Founder, Entrepreneur, or high-net-worth individual. Prior experience in an international business environment is essential, along with the ability to navigate multiple time zones and work comfortably with global teams. The right candidate will be exceptionally organized, calm under pressure, culturally aware, and familiar with the pace and expectations of the modern media industry.
Tools and Working Style
Strong command of Microsoft Office, especially Outlook calendar management, is required. Daily communication will also rely heavily on Slack and WhatsApp. A genuine comfort with AI tools and an interest in using them to improve productivity and streamline processes is important for success in this role.
Compensation and Benefits
The base salary is expected to be between $125,000 and $140,000, with bonus eligibility. Benefits include comprehensive medical, dental, and vision coverage with employer cost-sharing after one month of employment, a 401(k) plan with company match after one year, tax-free commuter transit benefits, flexible spending accounts, and three weeks of paid vacation in addition to sick time.
