About the Role

Our client, a prominent insurtech company at the forefront of insurance and technology innovation, is seeking a highly experienced Senior Executive Assistant. This role is a temporary position with the potential for conversion to permanent employment, designed to support multiple C-suite executives within a dynamic, rapidly expanding organization. The position offers a significant opportunity to contribute by supporting the Chief Product Officer, CTO, and CFO, while ensuring smooth collaboration across product, technology, and finance departments. The ideal candidate will be exceptionally organized, maintain composure under pressure, and excel in managing competing priorities and demanding scheduling requirements. This is a fully remote position, with a strong preference for candidates located in the Mountain Standard Time (MST) zone, and requires adherence to Eastern Standard Time (EST) working hours.

Responsibilities

  • Provide comprehensive executive support to the Chief Product Officer, CTO, and CFO, encompassing intricate calendar management, inbox supervision, and meeting coordination.
  • Manage a high volume of scheduling requests involving multiple executives, internal teams, and external parties across various time zones.
  • Arrange domestic and international travel, create detailed itineraries, and process expense reports.
  • Assist in the planning and execution of offsite meetings, leadership summits, and internal events, managing logistics, venue arrangements, and scheduling.
  • Develop, format, and consolidate presentations using Google Slides and prepare executive-level documentation.
  • Create and maintain spreadsheets for tracking budgets, travel and expense (T&E) reports, and key operational objectives.
  • Collaborate closely with executives to anticipate needs, resolve scheduling conflicts, and ensure efficient daily operations.
  • Act as a primary point of contact and gatekeeper for communications involving leadership teams and external partners.
  • Handle confidential and sensitive information with the utmost discretion.
  • Support ad hoc projects and cross-functional initiatives in a fast-paced, evolving business landscape.

Requirements

  • A minimum of 5 years of experience providing executive support to multiple senior leaders, preferably in the technology or high-growth sectors.
  • Demonstrated experience in managing complex calendars for several executives concurrently.
  • Advanced proficiency in Google Workspace, including Docs, Sheets, Slides, Gmail, and Calendar, is mandatory.
  • Previous experience supporting executives in startup or mid-sized, fast-paced companies is highly desirable.
  • Possess outstanding organizational abilities, with a proven capacity to multitask and prioritize effectively under pressure.
  • Maintain a calm, composed, and highly responsive demeanor in dynamic work environments.
  • Exhibit strong written and verbal communication skills, with meticulous attention to detail.
  • Comfortable working remotely while aligning with Eastern Standard Time (EST) working hours.
  • Familiarity with AI tools and contemporary productivity systems is considered an advantage.
  • A Bachelor's degree is preferred, but not strictly required if the candidate possesses substantial relevant experience.
