About the Role

TurnPoint Search Group is collaborating with a family office to recruit an Executive Assistant who is highly organized, proactive, and resourceful to support its executive team. This multifaceted position demands an individual capable of managing diverse responsibilities such as handling the daily office functions, conducting in-depth research, and overseeing various projects. The successful candidate will demonstrate strategic thinking, outstanding communication abilities, meticulous attention to detail, and the capability to manage sensitive and confidential matters with utmost discretion.

Key Responsibilities

  • Maintain and coordinate the executive's calendar, including arranging meetings, appointments, and travel plans.
  • Prepare, proofread, and edit correspondence, reports, presentations, and assorted documents as required.
  • Serve as the primary contact for internal and external parties, efficiently managing communications and responding promptly to inquiries.
  • Organize and facilitate executive meetings by preparing agendas, recording minutes, and tracking follow-up actions.
  • Supervise daily office operations to ensure a structured, effective, and productive workplace environment.
  • Manage office inventory, equipment, and vendor relations to guarantee smooth office functionality.
  • Ensure adherence to company policies and maintain systematic filing of documents, records, and communications.
  • Conduct research on various subjects assigned by executives, compile findings, and deliver concise summaries.
  • Stay current on industry developments, competitor activities, and pertinent topics to offer informed insights and advice.
  • Support report and presentation development by collecting and analyzing relevant data.
  • Assist in organizing and executing special projects by monitoring progress, managing deadlines, and coordinating stakeholders to ensure timely completion.

Candidate Requirements

  • Possess a Bachelor's degree; advanced degrees and outstanding academic records are preferred.
  • At least five years of experience, demonstrating successful management of complex projects and strategic initiatives.
  • Exceptional planning and time management skills, with a strong ability to prioritize tasks efficiently.
  • Excellent written and oral communication capabilities.
  • Strong interpersonal skills for effective relationship-building across all organizational levels.
  • Maintain high confidentiality, discretion, and integrity in handling sensitive information.
  • Capable of performing well in a fast-paced, dynamic environment with shifting priorities.

Compensation

The position offers a base annual salary ranging from 120000 to 300000, dependent on experience and qualifications.
