About the Role
We are offering a compelling opportunity for a highly organised and capable Executive Assistant to provide dedicated support to a senior leader within the Corporate Affairs and Sustainability division of a worldwide organisation. Situated in London with a hybrid work setup and a 3-month contract inside IR35, this position demands a proactive professional who thrives in a dynamic, fast-paced global setting. You will be entrusted as a close collaborator to the executive, aiding in strategic project coordination, handling multiple priorities, and facilitating seamless daily operations.
Key Responsibilities
- Oversee the executive's intricate international calendar, arrange travel logistics, manage expenses, and perform general administrative duties.
- Organise meetings both internally and externally by preparing agendas, compiling briefing papers and presentations, and monitoring completion of action items.
- Assist in the development and management of strategic initiatives spanning sustainability, corporate responsibility, governance, and compliance efforts.
- Coordinate leadership assemblies, governance boards, and interdepartmental working groups engaging various stakeholders.
- Support office leadership activities by organising team gatherings, managing visitor logistics, and contributing to broader employee engagement programs.
- Foster strong connections with senior stakeholders and internal teams, serving as a vital point of coordination.
- Handle sensitive and confidential information with utmost professionalism and discretion.
- Identify and implement efficiencies to improve administrative workflows and operational effectiveness.
Candidate Profile
- Proven experience acting as an Executive Assistant supporting senior executives within international or corporate environments.
- Exceptional organisational ability paired with strong time management, adept at juggling multiple priorities effectively.
- Excellent communication skills, both written and oral.
- Meticulous attention to detail with a proactive approach and minimal oversight.
- Professional demeanor, sound judgment, and discreet handling of confidential matters.
- Proficiency in advanced Microsoft Office and Microsoft Teams applications.
Preferred Qualifications
- Background supporting teams in legal, corporate affairs, sustainability, governance, or compliance areas.
- Experience in organising international projects, leadership meetings, or corporate events.
