Position Overview
The Executive Assistant role partners closely with the Chief Financial Officer and Chief Marketing Officer to deliver strategic administrative support beyond traditional norms. This position demands proactive management of priorities, foresight in anticipating needs, and ensuring smooth operations within a fast-paced and rapidly growing company environment.
Key Responsibilities
- Serve as a trusted partner to CFO and CMO, overseeing their schedules and prioritizing tasks to focus on critical objectives.
- Anticipate challenges, identify potential risks, propose solutions, and resolve issues proactively to avoid business interruptions.
- Manage complex calendars and coordinate appointments for senior executives.
- Prepare for leadership meetings by organizing agendas, compiling pre-reading materials, defining desired outcomes, and tracking follow-ups.
- Oversee the creation and consolidation of presentation decks for team meetings, ensuring templates are used properly and content is completed by contributors.
- Provide light assistance with email inbox management for both executives.
- Facilitate execution of strategic initiatives by scheduling cross-departmental meetings and monitoring progress milestones to maintain alignment.
- Handle internal and external communications for leaders with discretion and clarity.
- Enhance operational efficiency through workflow organization, process automation, and introduction of structure, including leveraging AI tools.
- Arrange travel plans and logistics thoughtfully to maintain cost-efficiency and leader productivity.
- Maintain confidentiality with sensitive information and act with professionalism and trustworthiness.
- Build and sustain strong relationships across the company to foster collaboration and accelerate teamwork.
Qualifications
- Minimum five years experience supporting senior executives in dynamic, high-growth organizations.
- Exceptional attention to detail, organizational ability, and capacity to manage shifting priorities among multiple stakeholders.
- Ability to operate at a fast pace personally and push for efficient progress from others.
- Proven discretion and judgment in handling confidential information and serving as a reliable partner.
- Strong communication skills, including drafting professional correspondence and creating executive briefs.
- Excitement and comfort using AI to boost productivity.
- Proficiency with modern collaboration tools such as Microsoft 365 (Word, Excel, PowerPoint), Outlook, Teams, and project management software like Asana.

Compensation
The annual salary range for this position is between $90,000 and $130,000 USD, depending on the US time zone of remote work (CDT or MDT).
