About the Role
The Disney Kids & Family team under Disney Entertainment Television manages the creation of content aimed at children, teenagers, and families across platforms such as Disney+, Disney Channel, Disney Jr, and Disney XD. This Executive Assistant position offers high-level administrative support to one or more film and television executives, collaborating closely with production, creative, and finance departments on a diverse portfolio of projects.
The role demands a highly organized, proactive individual capable of handling a dynamic workload while upholding confidentiality and meticulous attention to detail. Prior experience supporting executives in film or television, along with comfort in managing the varied schedules of development, production, and post-production phases, is essential. This position suits someone who flourishes in collaborative, deadline-intensive settings and aspires to support top-tier content creation.
Key Responsibilities
- Oversee complex and frequently changing calendars, coordinating meetings, table reads, screenings, production check-ins, and travel arrangements, including across different time zones.
- Act as the main contact for internal teams and external partners such as studios, producers, talent representatives, and agencies, applying discretion and sound judgment consistently.
- Organize detailed domestic and international travel plans related to production and location visits.
- Draft, proofread, and distribute a variety of documents, including correspondence, memos, and presentations on behalf of executives.
- Assist with budget tracking, expense reports, invoices, and purchase orders in collaboration with Production Finance.
- Maintain production documentation like schedules, script drafts, and casting materials, ensuring proper version control and confidentiality.
- Coordinate logistics for meetings including scripted/unscripted development sessions, greenlight meetings, and pitch meetings.
- Anticipate executive needs and proactively resolve scheduling or logistical challenges.
- Collaborate with other Executive Assistants and support personnel to facilitate cross-functional project coordination.
- Handle sensitive talent, project, and business information with the highest level of confidentiality.
- Support onboarding processes for new hires, vendors, and consultants, including paperwork and equipment coordination.
- Provide general administrative duties such as expense reconciliation, supply management, and file organization.
- Contribute to special projects and departmental initiatives as assigned.
Qualifications and Skills
- A minimum of 3 years experience as an Executive Assistant or in a comparable administrative role, preferably within film, television, or entertainment/media production.
- Knowledge of scripted and/or unscripted film and television development and production processes is highly advantageous.
- Excellent organizational skills capable of managing multiple priorities and adapting to shifting deadlines in a fast-paced environment.
- Strong written and oral communication skills to effectively engage with executives, talent, and external partners.
- High discretion and professionalism when dealing with confidential materials.
- Proficiency in Microsoft Office applications (Outlook, Word, Excel, PowerPoint); experience with Concur or similar travel and expense systems is a bonus.
- Advanced calendar management abilities, including coordinating schedules across various time zones.
- Ability to work autonomously, foresee needs, and make sound decisions with minimal supervision.
- Flexibility to occasionally work evenings or weekends to accommodate production demands.
- A positive attitude paired with strong interpersonal skills to foster relationships organization-wide.
Education
A bachelor’s degree is preferred; however, equivalent professional experience may be considered in lieu of a degree.
Compensation and Additional Information
The salary range for this position in Burbank, CA is between $54,000 and $72,300 annually, based on a standard 40-hour workweek. Actual hours may fluctuate according to business requirements. The final compensation offered will consider factors such as internal equity, candidate location, experience, and skills.
