Role overview

Intellihub is focused on making the energy transition easier, with expertise in smart metering across Australia and New Zealand and solutions spanning solar, battery, EV, virtual power plant, and home electrification. In this position, you will report to the Chief Executive Officer for New Zealand and provide direct executive assistance to the CEO, as well as senior administrative support to other members of the New Zealand Leadership Team based in the Auckland office. A major part of the role also involves overseeing office administration and facilities coordination so that the workplace remains efficient, professional, and well organised for employees, guests, and external stakeholders.

Key accountabilities

  • Arrange travel for the New Zealand Leadership Team, including bookings for accommodation, travel schedules, meals, and support with the corporate travel platform.
  • Serve as the main contact for staff, visitors, and customers at the Newmarket office, managing access, transport, parking, and visitor passes to create a smooth and welcoming experience.
  • Oversee day-to-day office and facilities activities, such as maintaining shared spaces, handling correspondence, managing consumables and equipment, and coordinating with vendors, office hardware providers, and food suppliers.
  • Plan and organise meetings, workshops, functions, team gatherings, and catering.
  • Administer access cards, locker assignments, and stock of merchandise such as branded apparel, PPE, and onboarding packs for new starters.
  • Handle communications by screening, answering, and redirecting calls and correspondence with professionalism, accuracy, discretion, and promptness.
  • Support a safe and healthy workplace and contribute to ongoing improvement in quality and performance by following relevant policies and procedures.

Candidate profile

The ideal person will have prior experience supporting senior leaders in a medium to large organisation and will demonstrate strong professionalism, sound judgement, and the ability to keep information strictly confidential. You should be proactive, flexible, resilient, and comfortable working in a busy, fast-moving setting while staying ahead of priorities. A calm, practical, and solution-oriented approach is essential, along with a positive outlook and a good sense of humour.

Additional information

This role can be structured either as full-time or as a 0.8 FTE schedule, which would run from Monday to Thursday.
