Job description
About the Company
HYBE America operates within HYBE, a worldwide force at the meeting point of music, entertainment, and technology. The company works with some of the most influential artists globally and is steadily broadening its creative and cultural reach across the Americas. Its workplace culture is grounded in Passion, Autonomy, and Trust.
Role Summary
HYBE America is looking for an exceptionally organized and forward-thinking Executive Assistant to support both the General Counsel and the EVP of Communications. This position is central to two fast-moving, highly visible functions: one centered on legal and business matters, and the other focused on communications strategy, media relations, and reputation management. The right person will be comfortable working in a confidential, high-trust environment where discretion, precision, and the ability to anticipate needs are essential.
The role acts as a key connector between two senior leaders, balancing competing demands, intricate scheduling, and coordination across teams with calm professionalism. Prior experience in music, entertainment, or closely related creative industries is strongly preferred. This is a full-time hybrid position based in the Santa Monica office, with three in-office days each week and two remote days.
Executive Support
- Oversee highly complex calendars for the General Counsel and EVP of Communications, while accounting for business needs, legal deadlines, and media timing.
- Prepare, edit, and handle communications for both leaders, including internal updates, external correspondence, and follow-through on action items.
- Create meeting agendas, briefing packets, and discussion points to ensure meetings are productive and decisions are clearly captured.
- Stay ahead of daily priorities by surfacing conflicts, risks, and deadline pressure before they become issues.
Legal and Communications Operations
- Assist the General Counsel with end-to-end legal workflow coordination, including monitoring deal milestones, organizing documents, and liaising with internal teams and outside counsel as needed.
- Support the EVP of Communications by managing calendars and requests, helping with internal communication efforts, and coordinating publicity-related initiatives across functions.
- Help connect Legal and Publicity with internal departments, global partners, and outside stakeholders when coordination is required.
- Manage confidential and highly sensitive material, including legal and media-related information, with strong judgment and utmost discretion.
Travel, Logistics, and Administration
- Arrange domestic and international travel, lodging, and related logistics for both executives.
- Prepare and monitor monthly expense reports and work with Accounting on invoice processing.
- Keep digital files accurate, orderly, and easy to access, while supporting the executive office with structured documentation.
- Look for practical ways to improve efficiency through better systems, documentation, and tools.
- Use productivity and AI tools thoughtfully, including Notion, ChatGPT, Claude, and Gemini, applying them where they truly add value and relying on careful manual work when needed.
Qualifications
Applicants should bring 1–3+ years of experience supporting senior executives in a fast-moving environment, with entertainment, media, or a related industry strongly preferred. The role calls for someone who can juggle multiple stakeholders and priorities accurately, discreetly, and calmly. Strong written and verbal communication, excellent organization, project management, and problem-solving ability are important, along with a proactive mindset that identifies issues early. Professional judgment, accountability, adaptability, and comfort handling confidential information are also key. Candidates should be proficient with Google Workspace, Microsoft Office, Apple iOS, and productivity tools, and should use AI and new technology with discernment rather than overdependence.
Bonus Experience
- Genuine interest in music and the entertainment business
- Ability to speak Spanish or Korean
- Long-term interest in building a career in Business & Legal, Communications, or Publicity
- Experience in a dual-support EA role handling more than one executive at once
- Exposure to legal terminology, contract processes, or collaboration with in-house or outside counsel
- Background supporting communications, PR, or publicity teams in a fast-paced media setting
- Previous work at a music label, talent agency, or entertainment company
Tools and Systems
- Google Workspace
- Microsoft Office
- Slack
- Zoom and Google Meet
- DocuSign and Adobe Sign
