Role Overview
The Executive Assistant will deliver high-level administrative and operational support to a team of 3-4 senior executives. This position demands outstanding organizational aptitude, a proactive approach, and the capability to handle multiple complex priorities in a demanding and fast-moving environment.
Key Responsibilities
- Offer comprehensive executive assistance including intricate calendar management and coordination of meetings across various global time zones.
- Organize detailed international travel plans, maintain itineraries, manage logistics, and oversee expense reports.
- Prepare and handle documents for signatures, compile meeting materials, agendas, and ensure follow-up on action items.
- Act as a primary liaison among executives, portfolio companies, and both internal and external stakeholders.
- Support end-to-end execution of media events and client presentations.
- Occasionally assist with personal errands and lifestyle support, along with travel coordination as needed but limited in scope.
Qualifications and Skills
- Five to ten years of experience assisting senior executives, preferably within private equity, investment management, consulting, executive search, or similarly fast-paced professional fields.
- Capability to maintain composure and adapt swiftly under high-pressure, high-performance conditions.
- Superb organizational skills with meticulous attention to detail, and the ability to juggle competing priorities flawlessly.
- Excellent communication and interpersonal skills to confidently engage with senior stakeholders and external partners.
- Maintains strict discretion, professionalism, and exercises sound judgment when managing confidential information.
- Resourceful, self-driven, solutions-focused, and exhibiting a strong sense of responsibility.
- Dedicated service orientation with a proactive support mindset.
