Role Overview
We are seeking a skilled Executive Assistant/Office Manager to provide dedicated support to C-suite leaders within our real estate company. This role is perfect for a seasoned assistant who excels in a dynamic, high-pressure setting, skillfully managing multifaceted priorities and complex executive demands.
Key Responsibilities
- Deliver high-level administrative support to senior leadership, including handling intricate calendar management, coordinating comprehensive domestic travel, preparing meetings, managing expense reporting, and facilitating executive communication.
- Synchronize schedules among multiple executives, internal teams, and external partners across various time zones.
- Oversee daily office functions to maintain a professional, organized, and inviting workspace.
- Organize corporate meetings, client visits, leadership gatherings, and employee events.
- Maintain and strengthen relationships with vendors, property management, and service contractors.
- Assist with onboarding processes and manage office inventory such as supplies and catering, along with workplace initiatives.
- Contribute to administrative projects, including processing contracts, invoices, and corporate records as required.
Candidate Qualifications
- Minimum of five years experience supporting C-level executives in either executive assistant or office manager roles.
- Proven expertise in managing complex and demanding executive calendars combined with national travel coordination.
- Experience providing support to multiple executives concurrently within a fast-moving corporate setting.
- Outstanding organizational skills paired with excellent communication and problem-solving abilities.
- Demonstrated professionalism, confidentiality, and meticulous attention to detail.
- Proficient in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
