Executive Assistant Role Overview
We seek a meticulous, anticipatory, and proactive Executive Assistant to provide comprehensive support to our Managing Director. This role involves serving as a trusted operational partner, managing priorities, communication, scheduling, and project follow-through across the property. The ideal candidate thrives in a dynamic luxury hospitality environment, demonstrating sound judgment, discretion, confidentiality, and professional warmth.
Primary Responsibilities
- Oversee and coordinate the Managing Director’s calendar, appointments, travel arrangements, correspondence, and daily agenda.
- Organize meeting agendas, prepare materials, manage logistics, document notes, and ensure timely follow-ups.
- Draft reports, presentations, and executive-level communications.
- Monitor deadlines, decisions, commitments, and action items for leadership.
- Facilitate efficient communication and alignment between the Managing Director and department heads.
- Handle confidential matters related to employees, operations, finances, and strategic planning.
- Support diverse special projects, property initiatives, events, and leadership-driven priorities.
- Assist with marketing efforts, including on-site photography, public relations, and social media activities.
- Review documents and communications for accuracy, tone, and completeness.
- Proactively anticipate needs, resolve issues, and be prepared to offer support beyond normal business hours as required.
Candidate Qualifications
- Minimum of three years’ experience in executive, administrative, hospitality, or senior-level support roles.
- Exceptional organizational skills with strong judgment, discretion, and great attention to detail.
- Excellent written and verbal communication abilities.
- Capability to prioritize multiple tasks and operate autonomously.
- Proficiency in Microsoft Outlook, Word, Excel, PowerPoint, Teams, and collaborative document platforms.
- Experience managing calendars, meetings, travel plans, and projects.
- Preferred background in luxury hospitality, resort environments, private service, or Chief of Staff roles.
Working Conditions and Expectations
This predominantly on-site, office-based position involves moving around the resort property regularly. Flexibility is necessary to accommodate occasional early mornings, evenings, weekends, events, or urgent situations. Reliable transportation and consistent on-site presence are mandatory.
