Overview
We are in search of a highly organized and proactive Executive Assistant to provide comprehensive support to our Senior Vice President (SVP) or Vice President (VP). This position demands a professional demeanor, strict confidentiality, and the ability to anticipate and manage various administrative and executive duties in a dynamic setting.
Key Responsibilities
- Efficiently manage and optimize the calendar of the SVP/VP, including arranging meetings, appointments, and travel plans.
- Draft, review, and organize confidential correspondence and documents.
- Coordinate logistics for both internal and external meetings, manage agendas, and ensure timely follow-ups.
- Act as an intermediary between the SVP and both internal departments and external stakeholders.
- Handle expense reporting, invoice processing, and budget monitoring as necessary.
- Maintain utmost confidentiality and discretion in all engagements.
- Oversee all office-related activities pertinent to the SVP.
- Facilitate visa processing procedures.
- Regularly update and maintain tracking systems.
Qualifications and Requirements
- A bachelor's degree is preferred, though equivalent professional experience will be considered.
- Possess between 2 to 5 years of relevant experience in executive support roles, ideally supporting senior executives such as C-level or SVP personnel.
- Strong organizational skills with the ability to manage multiple tasks and priorities effectively.
- Excellent verbal and written communication capabilities.
- Proficient user of Microsoft Office applications (Outlook, Word, Excel, PowerPoint); experience with collaboration tools like Teams and expense systems like Concur is advantageous.
