Position Overview
This role offers a practical entry point for someone interested in building a career in events or team operations. It is designed to provide direct exposure to the day-to-day work of a major sports and event organization while helping the selected candidate develop core professional skills. The workload is substantial, and the role carries significant responsibility.
Department: Events & Operations
Reports to: Chief Administrative Officer (CAO) and Manager of Events & Team Operations
Status: Temporary full-time, non-exempt, on-site
Duration: 6.5 months
Start Date: July 15, 2026
Key Responsibilities
The assistantship includes hands-on support across event planning, team operations, logistics, and administrative coordination. The role also involves learning how a large non-profit sports organization serves the community and executes high-profile annual events.
- Build knowledge of how a major non-profit sports and event organization operates and contributes locally.
- Show initiative, make quick decisions, and communicate clearly with committee members.
- Support major Orange Bowl events throughout the year, including Family Fun & Fit Day, Orange Bowl Golf Classic, Family Fall Festival, Orange Bowl BeachRun, High School Football Showcase, High School Basketball Showcase, and the GA Telesis/Orange Bowl Golf Tournament.
- Assist with group activities such as team site visits, player dinners, official party dinners, hospitality rooms for players and officials, and spouses’ outings, including scheduling, layout planning, and coordination with outside vendors.
- Work with Orange Bowl sub-committees to prepare for hosting teams during bowl week.
- Learn basic accounting processes such as budget reconciliation, purchase order handling, and invoice processing.
- Help research, present, and manage annual plans, budgets, agendas, and task lists.
- Gain exposure to the administration of event agreements and contracts.
- Support the management of junior hosts before and during bowl week.
- Contribute to the creation, presentation, and tracking of event staffing plans and operational task lists.
- Take part in the Orange Bowl Youth Sports Program, including the Park of the Week program and other community outreach efforts.
- Assist with weekly edits to the Orange Bowl Team Participant Guide.
- Help update the Conference, Hospitality, and Game Official Manuals ahead of bowl week.
- Receive training in planning and running internal and external event meetings.
- Learn how team gifts are selected and brainstorm ideas tailored to different team categories.
- Support Capital One Orange Bowl Host Committee activities.
- Schedule Host Committee meetings, prepare agendas, document meeting minutes, and take part in discussions.
- Gain exposure to team arrivals, student-athlete and official party dinners, hospitality rooms, and event logistics including décor, entertainment, gifts, setup, breakdown, and transportation for outings.
- Learn the logistics involved in game officials’ travel, entertainment, events, and accommodations.
- Assist with additional duties assigned by the Chief Administrative Officer.
- Handle team transportation logistics, including airport arrivals, bus and limo service, and courtesy car assignments and distribution.
- Support research and inventory tracking for team gifts, site visits, and game-day activities.
- Help prepare events using packing lists and load the Orange Bowl box truck.
- Learn how to maintain event quality and meet required timelines.
- Explore cross-department opportunities, including Community Outreach.
Qualifications
The ideal candidate should bring strong organizational ability, clear communication, and a willingness to learn in a fast-paced environment.
- Bachelor’s degree, preferably in Sports Management or a related discipline.
- Strong organizational skills and close attention to detail.
- Excellent written, verbal, and interpersonal communication skills.
- Proofreading ability is required.
- Demonstrated success or strong interest in event-related work.
- Comfort using Smartsheet, Adobe Acrobat, Microsoft Office applications including Excel and Publisher, and typing tools.
- Ability to lift at least 20 pounds.
- Ability to operate a box truck.
- Willingness to work 40 hours per week, with overtime paid when additional hours are required.
- Valid driver’s license and a clean driving record are mandatory.
- The organization performs background screening and drug testing as part of pre-employment checks.
Additional Information
This position is based on-site in Hialeah, Florida. It is a temporary, full-time assistantship intended for candidates seeking practical experience in events and team operations.
Work Expectations
The role may require overtime beyond the standard 40-hour workweek, and those extra hours will be compensated. Because of the pace and volume of activity, the ideal candidate should be prepared for a demanding but highly developmental experience.
Selection Requirements
