Role Overview
The Event Project Specialist will be a critical team member supporting the Community's Choice program along with other events and initiatives. This role manages the complete project life cycle, including pre-sales planning, sales assistance, and post-sales execution of events, promotions, and special editorial sections across print and digital channels. The specialist supports workflow maintenance primarily using Smartsheet to track and coordinate project details aligning with established procedures and timelines.
Responsibilities
- Support the full scope of workflows for the Community’s Choice program and additional events/promotions from pre-sale through post-sale delivery.
- Utilize Smartsheet to manage project plans, workflows, automation, and fulfillment reports.
- Assist in pre-sales preparations and sales kickoff activities to ensure precise intake and clear expectations.
- Coordinate project initiation and delivery across print and digital advertising channels.
- Ensure project data remains accurate and current throughout its lifecycle.
- Work collaboratively with cross-functional teams to ensure timely and aligned execution.
- Monitor project progress, identify risks, and communicate issues to relevant team members.
- Organize resources and promote workflow effectiveness among teams.
- Build and sustain positive relationships with internal stakeholders.
- Contribute suggestions for improving and standardizing processes and workflows.
Qualifications
- A Bachelor's degree in marketing, communications, or a related field is required.
- Excellent organizational skills with the capability to handle multiple priorities effectively.
- Strong written and verbal communication skills paired with keen attention to detail.
- Ability to work independently as well as collaboratively within a team.
- A proactive problem-solving attitude suited for a fast-paced environment.
- Experience collaborating across various teams in a large organization.
- Customer service orientation and solid stakeholder support skills.
- Willingness to travel approximately 5 to 10 times annually.
- Commitment to fostering a diverse and inclusive workplace.
Preferred Skills
- Experience using Smartsheet or comparable project management software.
- Familiarity with order entry systems such as Salesforce or similar CRM and order management platforms.
Compensation and Additional Information
The annual base salary for this position ranges from 40000 to 45000 USD, not including potential variable compensation which may be applicable based on role and performance. Salary can vary depending on location, experience, and union status if relevant.
