Work Schedule and Location
This full-time position is based onsite at 601 E Rollins St, Orlando, Florida, 32803. Shift schedules will vary and include day, evening, and weekend hours dependent on event requirements.
Key Responsibilities
- Participate in and lead event planning meetings with internal teams
- Conduct detailed pre-event logistics sessions to prepare the internal team
- Manage on-site logistics during events ensuring smooth setup and flow while addressing issues proactively
- Supervise staff and vendors at event locations, oversee event financials including invoice accuracy and approvals, and keep detailed event records and budget summaries
- Collaborate with event stakeholders to define goals, requirements, communication strategies, and budgeting
- Ensure real-time event operations run effectively, addressing facility adequacy, food availability, signage clarity, staff direction, and event implementation quality
- Identify and manage potential challenges affecting event outcomes
- Support colleagues flexibly and undertake additional duties as necessary
Knowledge, Skills, and Abilities
- Demonstrated experience in event planning or coordination
- Professional communication skills with diverse populations and leadership
- Exceptional time management and both verbal and written communication proficiency
- Sales aptitude to nurture productive business relationships
- Ability to juggle multiple projects independently and prioritize effectively
- Adaptability and openness to change
- Attention to detail and strong customer service orientation
- Proficiency in MS Office and Adobe design software
- Strategic partnership skills with leadership teams
- Financial planning, cost analysis, and quality control for event experiences
- Decisive critical thinking and sound judgment in executive decision-making
- Self-driven with capacity to implement strategies autonomously
- Some flexibility in schedule with occasional travel requirements
- Collaborative team player with excellent interpersonal skills and positive energy
- Familiarity with event tools and technologies and fundamental understanding of event operations
- Strong quantitative, analytical, and market research skills
- Conversational English proficiency required
- Preferred knowledge includes Adobe Creative Cloud
Education and Experience
- Bachelor's degree required
- Minimum one year of relevant experience in marketing, human resources, hospitality, communications, or a related area
Compensation and Legal
Salary range is approximately $45,197 to $84,071 annually. Some positions require Florida Level 2 background screening including fingerprinting as per state law.
