Job description
Role Overview
This position combines event coordination, programme support, and community partnership work in a mission-driven environment focused on inclusion for individuals with special needs.
Programme Planning and Delivery
- Coordinate session schedules with trainers and work closely with finance and client services to make sure all required procedures are properly followed.
- Support the planning and delivery of programme sessions in line with participant needs.
Participant Support & Engagement
- Create an environment that feels safe, respectful, and encouraging, so participants can express themselves through music and movement.
- Recognise sensory sensitivities or participation challenges and adjust activities or the setting when needed.
- Provide support for participants with different communication, cognitive, sensory, and behavioural needs.
- Promote interaction, collaboration, and confidence through group activities and performances.
Performance & Showcase Coordination
- Organise and coordinate performances and showcase activities.
- Prepare proposals and quotations for prospective hirers.
- Work with hirers to understand and fulfil event requirements.
- Support rehearsals and guide participants through the performance journey.
Collaboration & Communication
- Partner with trainers, coaches, caregivers, and other facilitators to keep programmes aligned with individual goals and support needs.
- Keep families and caregivers updated on progress, upcoming events, and any concerns that may come up.
- Take part in recurring team discussions to review sessions and strengthen facilitation methods.
Administrative Duties
- Keep attendance, progress notes, and incident records accurate and up to date.
- Support programme evaluation and contribute to reports or grant-related documentation when required.
Partnership Development & Relationship Management
- Source, start, and manage strategic partnerships with schools, public agencies, and private sector stakeholders.
- Develop partnership proposals that are beneficial to both the organisation and potential collaborators.
- Build durable working relationships that help expand services and opportunities for individuals with special needs.
- Act as the key contact person for community partners and maintain strong ongoing communication.
Community Engagement
- Represent the organisation at community events, forums, and joint meetings.
- Work alongside families, caregivers, and local community groups to understand their needs and ensure partnerships reflect their perspectives.
- Coordinate collaborative community initiatives, campaigns, and inclusive events.
Fundraising Events & Campaigns
- Plan, organise, and deliver a calendar of fundraising events such as charity walks, gala dinners, community fairs, and awareness days.
- Collaborate with internal and external stakeholders to complete events on schedule and within budget.
- Secure sponsorships, vendors, and community participation to improve event outcomes.
- Develop fresh fundraising ideas that increase engagement and promote awareness of special needs inclusion.
Other Duties
- Carry out any other ad hoc responsibilities assigned by the CEO within the scope of Community Partnerships.
Job Requirements
- A diploma or bachelor’s degree in a relevant discipline is preferred.
- 1 to 3 years of experience in related fields or industries.
- Open to learning, able to assist others, solve problems, and get work done effectively.
- Positive and proactive attitude.
- Comfortable handling multiple tasks and coordinating with several vendors and departments at once.
