The Role
As a Conference & Events Coordinator on a 12-month fixed-term parental leave contract, you will be responsible for meticulously organizing and managing various conferences, events, and weddings across six unique locations within the Village Roadshow portfolio. From themed gala dinners to intimate animal encounters, your coordination will ensure seamless event execution and client satisfaction.
Key Responsibilities
- Plan and coordinate all event details, developing comprehensive event orders tailored to client specifications.
- Produce detailed event documentation and quotations, prepare contracts, and follow up promptly to confirm bookings.
- Represent the company at expos and trade fairs as necessary.
- Conduct client meet and greets, site inspections, and familiarization tours, including availability on weekends and evenings.
- Ensure accurate reconciliation of post-event accounts aligning with quoted charges and any alterations made during events.
- Collaborate closely with the Village Roadshow Limited accounts department to finalize event billing and secure payment completion.
Candidate Profile
- Previous experience in a similar capacity within a large venue or hotel setting is essential.
- Excellent ability to manage multiple tasks efficiently and coordinate event logistics under tight deadlines.
- Strong communication and customer service skills are a must.
- Proficient in Microsoft Excel, Word, Outlook, and general computer applications; Opera system familiarity preferred.
- Demonstrated commitment to meeting performance goals and accountability standards.
- Possession of a current open driver's license.
- Flexibility to work occasional evenings and weekends as required.
