About Huddle Events

Huddle delivers exceptional sporting experiences for young athletes by organizing events for leading schools both in the UK and internationally. Combining expert operational execution with creativity and care, Huddle ensures every event is premium, seamless, and memorable. The company is committed to using sports as a platform for personal growth, inspiring youth through global and culturally rich events.

Role Overview

The Events & Account Executive will be integral to planning and implementing events while managing client relationships throughout their journey. The focus is on account management—maintaining and expanding engagements with existing schools and partners—and ensuring top-quality event delivery.

Key Responsibilities

  • Collaborate closely with the Events team to support planning across Huddle’s event portfolio.
  • Assist in creating detailed event timelines, schedules, and logistics plans.
  • Manage client requirements, including travel, accommodation, and catering arrangements.
  • Provide on-site support during events, handling build, delivery, and breakdown phases as needed.
  • Serve as the primary client contact during events, delivering outstanding attendee experiences.
  • Quickly identify and resolve any issues that arise during live events in a professional manner.
  • Respond to inbound enquiries generated from marketing campaigns, website activity, and referrals.
  • Qualify potential clients and guide them through the booking process.
  • Support proposal creation, quotation preparation, and booking document management.
  • Lead client onboarding, collecting all necessary participation details.
  • Maintain precise client and event data within Huddle’s CRM (Attio) and internal systems.
  • Coordinate with the Events & Partnerships Manager to ensure no enquiry goes unanswered during live events.
  • Accurately issue invoices, monitor payments, and follow up on outstanding balances.
  • Maintain up-to-date event budgets, tracking expenses against forecasts.
  • Manage multiple client accounts, cultivating trusted long-term relationships.
  • Identify and act on opportunities to grow client accounts on a seasonal basis.
  • Convert inbound enquiries and referrals into confirmed bookings, collaborating closely with Marketing for smooth transitions.
  • Contribute to new business pitches as needed, prioritizing existing account retention and growth.
  • Adhere strictly to safeguarding policies and duty of care commitments towards young event participants.
  • Complete mandatory safeguarding training and maintain a valid enhanced DBS check.
  • Promptly escalate any safeguarding or welfare concerns following company procedures.

Candidate Profile

  • Prior experience in client-facing roles within hospitality, sales, events, or similar sectors.
  • Background in events, account management, hospitality, marketing, or client service functions.
  • Strong communication and interpersonal skills.
  • Excellent organizational and project management skills with the ability to juggle multiple tasks concurrently.
  • Confidence interacting directly with clients, venues, and suppliers.
  • Attention to detail paired with effective problem-solving capabilities.
  • Ability to remain composed and professional under stress.
  • Proactive mindset with a positive, solution-oriented approach.
  • Proficiency in Microsoft Office, especially Excel; familiarity with CRM tools is advantageous.
  • Willingness to travel and support events spanning weekends and week-long durations.

  • Join a rapidly growing and ambitious company offering diverse learning experiences across operations, sales, and strategy.
  • Be part of the core team with clear opportunities for career progression as the business scales.
  • Contribute to a mission-driven organisation that values the impact of sports, delivering meaningful experiences for youth.
