Role Overview
In this position, you will take a client brief and shape it into a standout travel program by balancing budget, destination, and activities. You will turn requirements into practical options, negotiate with vendors for the best value, and coordinate all of the moving parts into a polished, accurate itinerary. The role sits at the operational core of the program, working closely with partners to keep the guest experience exceptional and the plan on schedule and within budget.
Key Responsibilities
- Lead sourcing and negotiation with hotels and vendors, including RFPs, concession comparisons, and phone-based negotiations to secure stronger pricing and terms.
- Develop luxury-leaning options that meet premium expectations and feel appropriate for high-value guest experiences.
- Build day-by-day itinerary plans with in-market vendors and include signature moments that are visually appealing and memorable.
- Improve speed and precision by shortening sourcing timelines and reducing errors in briefs, RFPs, and decision records.
- Work confidently inside the ReadyGo platform for registration, itineraries, travel and rooming details, and executive packets, while identifying opportunities to improve the tool.
- Follow budget forecasts and approval checkpoints closely, ensuring programs remain within financial limits.
- Act as the connector between Sales/CEO, Events/HR, and Finance so sourcing decisions align with business needs.
Candidate Profile
The ideal candidate enjoys learning new destinations, vendors, and tools, and is comfortable using travel and RFP systems daily. A strong visual sense is important, since decks, itineraries, and recommendation materials should look polished and premium. You should also enjoy event planning, be confident negotiating by phone, understand luxury service standards, and stay composed in a fast-changing environment.
Qualifications
- 2 to 5+ years of experience in group travel sourcing, event sourcing, vendor or DMC management, or hotel sales/operations.
- A portfolio or examples that demonstrate strong aesthetic judgment, such as decks, one-pagers, or itineraries.
- Excellent written and spoken communication skills, with the confidence to lead calls with hotels and DMCs.
- Comfort with modern tools such as RFP systems, spreadsheets, CRMs, and travel platforms, plus the ability to learn new systems quickly.
