Overview

HangarFour Creative is seeking a skilled Event Producer to lead and execute a diverse range of events and complex projects for its clients. The projects include consumer activations, product launches, press conferences, gala dinners, cocktail parties, corporate conferences, food and wine festivals, corporate hospitality, as well as theatrical, performance, and sporting events. The ideal candidate will bring extensive project and event management expertise, exceptional attention to detail, and strong leadership and team management capabilities.

The Event Producer must be well-versed in every facet of event production such as venue sourcing, catering coordination, securing permits, audiovisual and lighting setup, collaboration with production and graphic designers, interior design, staffing vendors, and managing vendor relationships.

Core Responsibilities

  • Develop and oversee event structures, timelines, budgets, and overall project organization in collaboration with the Executive Producer.
  • Manage the entire event lifecycle from initial concept through successful completion, ensuring strategic alignment and detailed oversight.
  • Partner closely with the Executive Producer and event designers on floor plans and construction renderings.
  • Effectively communicate project scopes, schedules, deliverables, and status updates with clients and internal teams.
  • Participate in and facilitate project meetings and creative brainstorming sessions.
  • Monitor and manage budget spending responsibly and reconcile expenses according to company policies.
  • Prepare detailed internal and client-facing briefings for event planning and execution.
  • Supervise printers, production designers, and installation teams while ensuring quality, safety, and proper execution of installations and load-ins/load-outs.
  • Act as the central contact for clients, presenters, and venues to nurture strong communication throughout the project.
  • Manage client expectations by delivering exceptional service and responding promptly to feedback.
  • Foster collaborative client relationships ensuring their needs are addressed promptly and clearly conveyed within the team.
  • Coordinate with external professionals such as event designers, production managers, technical directors, and printers involved in projects.
  • Assess personnel needs, assign responsibilities, and collaborate with external agencies to guarantee excellent brand representation.
  • Work alongside the business affairs department to finalize contracts, agreements, and necessary clearances.
  • Oversee logistical requirements including travel, accommodation, and contact lists.
  • Conduct thorough post-event debriefs to evaluate project outcomes.

Required Skills and Experience

  • Minimum 6 years of experience in event production or production management.
  • Outstanding organizational and communication skills.
  • Proven ability to manage multiple projects simultaneously under tight deadlines.
  • Strong skills in project planning, scheduling, and vendor negotiation.
  • Working knowledge of event design elements including lighting, sound, video, photography, and social media integration.
  • Familiarity with venue codes, public space event permits, and industry standards.
  • Proficiency with Mac computers and software such as Microsoft Word, Excel, PowerPoint, and Adobe Creative Suite.
  • Willingness to travel as needed.
  • Awareness of current trends and activities within the event industry.
  • Creative and eclectic design sense.
  • Flexibility to work extended hours, including weekends and holidays.
