Role Overview
The Event Operations Specialist supports the planning, coordination, and delivery of events. Working closely with the Senior Event Operations Specialist and the Lead, Events and Video Production Specialist, this role helps ensure that every operational detail is handled efficiently, from preparation through execution and wrap-up.
The position is highly involved in end-user interaction and requires a mix of technical capability, strong service orientation, and the ability to stay effective in a fast-moving environment. The role is based in Singapore and follows a hybrid working arrangement, with office attendance expectations to be confirmed by the hiring manager.

- Anticipate and resolve operational issues early by using sound analysis and troubleshooting skills.
- Improve event and support workflows continuously by applying best practices and seeking better ways of working.
Responsibilities
- Support the creation of event plans, schedules, timelines, and checklists.
- Coordinate logistics such as vendors, equipment delivery and setup, and transport arrangements.
- Assist with preparing and tracking event budgets.
- Participate in venue visits and inspections to confirm suitability and alignment with event requirements.
- Work with vendors for catering, audiovisual services, and event staffing needs.
- Coordinate with venues on seating layouts, lighting, AV configuration, and other operational requirements.
- Ensure permits and licenses needed for events are secured.
- Help with event build, live execution, and teardown so that activities run according to plan.
- Provide hands-on support during events for operational and technical tasks.
- Set up and operate AV equipment such as cameras, microphones, and lighting.
- Support live-streaming and video production activities to maintain stable, uninterrupted delivery.
- Communicate with internal stakeholders, vendors, and venues to keep everyone aligned.
- Share progress updates and flag risks or issues to the Senior Event Operations Specialist and the Lead, Events and Video Production Specialist.
- Take part in pre-event briefings to review plans and resolve concerns ahead of execution.
- Assist with post-event reviews by collecting feedback from attendees and stakeholders.
- Identify improvement areas and contribute ideas for future events.
- Help compile event reports covering attendance, engagement, and technical performance metrics.
Requirements
- At least 2 years of professional experience when combined with a Bachelor’s degree, or an advanced degree such as a Master’s, MBA, JD, MD, or PhD with the required experience.
- For stronger consideration, candidates should have 3+ years of experience with a Bachelor’s degree, or more than 2 years of experience with an advanced degree.
- A Bachelor’s degree in Event Management, Communications, Media Production, or a closely related field.
- Minimum 2 years of experience in event operations, especially in logistical coordination.
- Demonstrated success in supporting events and delivering strong outcomes.
- Exposure to live-streaming and video production is an advantage.
- Excellent organization and multitasking skills for managing several priorities at once.
- Ability to design detailed event plans and schedules.
- Hands-on familiarity with AV equipment and live-streaming platforms such as YouTube Live, Facebook Live, Twitch, Zoom, and Microsoft Teams.
- Knowledge of video editing and production tools like Adobe Premiere Pro and Final Cut Pro is beneficial.
- Understanding of relevant technical standards, including H.264 and H.265 video codecs, AAC and Dolby Digital audio standards, RTMP/HLS/DASH streaming protocols, and HD, Full HD, and 4K resolution formats.
- Strong problem-solving ability and sharp attention to detail.
- Comfort working under pressure and handling time-sensitive tasks with composure.
- Flexibility to adapt when event requirements change unexpectedly.
- Clear communication and interpersonal skills for working with stakeholders at different levels.
- Ability to build productive working relationships with vendors, venues, and internal teams.
- Collaborative mindset and strong teamwork skills.
