About the Role
As an Event Marketing Associate under the guidance of the Senior Event Manager for Listings, you will be instrumental in orchestrating events and marketing campaigns that foster valuable connections with current clients, attract potential customers, and establish Nasdaq as a prominent voice in regional and international discussions. Your responsibilities will include supporting both hosted and sponsored events across the Listings division by managing logistics, conducting research, and coordinating communications to ensure flawless event execution.
You will excel in this position if you are organized, attention-to-detail oriented, and energized by dynamic environments, taking pride in meticulous delivery and bringing a proactive, collaborative attitude to your work.
Key Responsibilities
- Manage all aspects of event preparation including venue selection, proposal creation, and preparation of presentations for stakeholders.
- Oversee coordination of event materials such as invitations, communications, gifts, and onsite collateral.
- Deliver on-site event support including setup, managing attendee check-ins, badge distribution, and materials handling.
- Track post-event activities and update marketing tools accordingly to maintain accurate records.
- Handle payments reconciliation, purchase order processes, invoice submission, and budget tracking as per accounting requirements.
- Maintain calendar scheduling via Microsoft Outlook and other platforms to ensure seamless event planning.
- Maintain ownership of team resources, including inventory, venue recommendations, area information, training documents for events and marketing, and vendor relationships for gifts and swag.
- Prepare and distribute quarterly newsletters to support communications efforts.
Qualifications and Requirements
- Minimum two years of experience in event marketing.
- Strong ambition to develop a career in marketing and events management.
- Bachelor’s degree is mandatory, ideally in marketing, communications, or hospitality fields.
- Professional and polished personal presentation.
- Excellent verbal communication and interpersonal skills with the ability to interact effectively with C-level executives internally and externally.
- Flexible team player, willing to adapt and assist as necessary.
- Multitasking capabilities and aptitude to lead multiple projects simultaneously.
- Proficiency in Microsoft Office suite, especially PowerPoint and Excel.
- Experience with CRM platforms and marketing automation tools, preferably Salesforce, Bizzabo, Knak, Monday.com, Asana, and Marketo.
- Availability to work flexible hours including mornings, evenings, and weekends based on event schedules.
Work Location and Schedule
This position is based in New York City and requires working onsite at the office three days a week.
