Position Overview
The Dispatcher will oversee the day-to-day coordination of driver dispatch activities within a dynamic environment based in Oshawa, Ontario. Key responsibilities include scheduling, routing, and accurately recording operations in the transportation management system, along with proactive communication with drivers to relay clear directions and resolve on-route issues. The role also involves collaborating with various departments to ensure prompt delivery schedules and exceptional customer satisfaction.
Work schedule: Day shift, Monday through Friday, with occasional weekend availability required.
Main Responsibilities
- Serve as the communication hub for customers, drivers, and team members to address operational concerns.
- Analyze driver productivity and utilization metrics; recommend improvements to management.
- Monitor and audit drivers' daily activity records, including non-revenue hours, start and finish times, and delay incidents.
- Ensure compliance and productivity standards are met by all drivers.
- Perform order and data entry, including appointment scheduling with shipping partners and customers.
- Maintain internal documentation templates and spreadsheets.
- Assist in planning the following day’s operations.
- Initiate and close daily and weekly trip records promptly to maintain system accuracy.
- Handle customer inquiries via phone and provide professional, timely email communications to uphold superior customer service standards.
Candidate Profile
- At least 6 months experience in dispatching within a transportation setting.
- Flexibility to work weekends when necessary.
- Ability to work independently with minimal supervision.
- Post-secondary education or equivalent relevant experience is advantageous.
- Excellent oral and written communication skills.
- Experience with staff scheduling under fluctuating workloads.
- Familiarity with continuous 24/7 operations, preferably in transport logistics.
- Training in Hours of Service regulations and E-logging systems is a plus.
- Strong analytical abilities, sound judgment, and effective communication skills.
- Proficient with Microsoft Office suite: Outlook, Excel, PowerPoint, and Word.
- Capable of multitasking and managing multiple projects in a fast-paced environment.
