Position Overview
The Director of Project Management leads Rubicon's Project Management Office (PMO), overseeing the framework and execution for project intake, prioritization, delivery, and performance measurement. Reporting to the Chief Information Officer, this role is key in delivering major company-wide technology transformations, including building a managed delivery program, modernizing data/reporting platforms, managing vendor transitions, and implementing AI initiatives focused on revenue growth.
Key Responsibilities
- Establish and implement the PMO's methodology, tools, templates, and delivery standards for all technology projects.
- Create a centralized intake process for technology initiatives, enabling transparent prioritization and providing leadership with portfolio visibility regarding project status and costs.
- Manage program governance for transformation efforts by tracking milestones, dependencies, risks, and enforcing stage-gate procedures.
- Oversee external delivery partners, ensuring adherence to contract milestones and acceptance criteria.
- Generate monthly technology performance reports and assist with quarterly executive and board presentations on delivery health, budget adherence, and commitment status.
- Coordinate vendor transitions and insourcing through structured knowledge transfers, cutover plans, and completion criteria.
- Advance project management maturity across technology teams via coaching, standards enforcement, and strategic hiring.
- Travel or onsite presence up to 20% as needed.
Supervisory Duties
- Manage project management staff and leaders through setting clear objectives, expectations, and accountability measures.
- Foster positive team culture and employee engagement.
- Lead recruitment, onboarding, and professional development activities.
- Ensure adherence to company policies and collaborate with Human Resources on employee-related matters.
Qualifications
- Minimum education: High School diploma; Bachelor’s degree in Business, Information Systems, Data Science, or related fields preferred.
- 8+ years in program and project management, with at least 3 years leading a PMO or significant transformation initiative.
- Preferred certifications include PMP, PgMP, or equivalents.
- Proven experience creating PMO capabilities in organizations initially lacking formal processes, ideally within private equity-backed tech transformations.
- Experience managing external vendor contracts tied to project milestones.
- Strong understanding and application of various delivery methodologies suited to different project needs.
- Financial acumen in budgeting, capitalization, and tracking delivery costs versus plans.
- Expertise in communicating project statuses clearly to executive and board-level audiences.
- Experience with order-to-cash cycles, ERP systems, or data platform initiatives is advantageous.
- Exposure to organizational change management amid restructuring is a plus.
- Leadership skills to coach and empower teams with accountability for root cause solutions.
- Excellent organizational skills to juggle multiple deadlines and priorities effectively.
- High discretion and confidentiality when handling sensitive information tied to strategic projects.
- Proactive and solution-oriented mindset with the drive to complete tasks independently.
Physical and Work Environment Requirements
- Work primarily from a home office with extensive computer use requiring fine motor skills and attention.
- Ability to sit for prolonged periods and maintain focus on detailed tasks.
- Occasional lifting of items up to 25 pounds.
- Reliable high-speed internet and appropriate technology setup necessary to work remotely.
- A quiet, distraction-free workspace essential for productivity.
- Virtual collaboration through meetings and communication tools is common.
- Periodic travel for team meetings as needed.
