Job description

Overview

The Director of Operations is responsible for managing the day-to-day running of multiple A and B class properties. This role involves shaping financial and business strategies related to property ownership, overseeing several operational functions such as maintenance, asset management, accounting, human resources, and marketing, and influencing strategic decisions within their scope. The individual manages up to 10 Property Managers who directly supervise property staff, ensuring that properties remain financially stable and properly maintained.

Key Duties

  • Recruit, train, supervise, develop, and, when necessary, terminate employment of direct reports and assist Property Managers in managing site-level employees.
  • Monitor property operations, recommend improvements, track occupancy, propose rent schedules, and prepare rent increase documents for regulatory bodies.
  • Audit and review property administration, accounting, and maintenance to guarantee adherence to policies; approve exceptions; resolve resident relations issues.
  • Lead the recruitment efforts for all roles within property operations.
  • Conduct property inspections to ensure optimal maintenance and presentation standards, including assessments of vacant units for market readiness.
  • Develop or assist in creating corrective action plans to maintain the physical and financial health of the apartment communities.
  • Create and monitor annual operational and capital budgets; prepare performance summaries.
  • Authorize expenditures within budgets, negotiate, and evaluate vendor contracts with recommendations.
  • Organize and lead monthly portfolio meetings involving all property personnel.
  • Build relationships with lenders and regulatory agencies.
  • Contribute to the development and implementation of property management training programs.
  • Oversee marketing plans for each property and optimize strategies.
  • Evaluate current procedures and suggest improvements; establish and implement standardized operating procedures (SOP) and training.
  • Ensure team accountability and performance standards.
  • Formulate and review quarterly operational plans to meet or surpass financial targets for each asset.

Required Qualifications and Skills

  • Minimum of 5 years supervisory experience managing multiple properties.
  • Strong knowledge of local and federal housing regulations.
  • Understanding of property maintenance, marketing, and financial property management elements.
  • Familiarity with employment laws concerning equal opportunity, hiring, training, promotion, evaluation, and termination.
  • Proven supervisory and organizational capabilities.
  • Effective delegation and communication of management policies and procedures.
  • Proficiency in computer applications including Word, PowerPoint, Excel, and experience with Resman property management software.
  • Certification as CAM HAA required; CAPS HAA preferred.
  • Excellent verbal and written communication, problem-solving, decision-making, interpersonal, and time management skills.
  • Ability to perform under pressure, meet deadlines, and manage multiple competing priorities.
  • Willingness to travel across all company sites and operate closely with ownership and executive leadership.
  • Capacity to perform roles such as substituting property managers or covering Asset Manager/CEO duties temporarily.
  • Flexibility to recommend process improvements and multitask effectively in a small company setting.
  • Competence in maintaining asset performance during major renovations and repositioning phases.
