Role Overview
As a full-time Design Team Project Administrator located at the Calgary head office, you'll support capital projects by managing the financial and administrative elements of 15 to 20 projects annually—including leasing offices, lobbies, fitness and community rooms, and exterior amenities—spread across Canada. A valid Class 5 driver's license and personal vehicle are required due to occasional travel needs.
Responsibilities
- Manage project approval workflows including executive sign-offs, purchase order issuance, and CCDC contract setups
- Handle processing of contractor and supplier invoices while aiding financial tracking efforts
- Oversee project budgets, cost forecasts, commitments, contingencies, monitor variances, and escalate risks promptly
- Collaborate with design, operations, and project teams to facilitate annual budget planning
- Administrate multiple active projects simultaneously by monitoring progress and resolving issues
- Coordinate procurement and warehousing activities to ensure timely delivery of materials
- Assist with sourcing, qualifying, and onboarding contractors in compliance with company policies
- Organize project meetings, maintain action logs, and follow-up to sustain project momentum
- Analyze project data including costs, schedules, and contractor performance, and report findings to leadership
- Support rebranding and renovation initiatives spanning multiple regions
- Help prepare project specifications, tender documents, and packages
- Assist with quality assurance reviews and project closeout documentation
- Maintain and refine project management systems, filing, workflows, and tracking tools to optimize efficiency
- Provide general team assistance and take on priority tasks as needed
Candidate Profile
- Possess 3 to 5 years' experience in project administration or coordination roles
- Highly organized, detail-oriented, and able to juggle multiple priorities in a fast-paced environment
- Comfortable working with financial figures and budget monitoring
- Effective communicator across technical and non-technical stakeholders
- Demonstrates leadership qualities through initiative, accountability, and proactive problem-solving
- Ownership-driven and continually seeks process improvements
- Thrives in a collaborative team atmosphere
- Willingness to travel occasionally for site inspections and project support
- Holds a valid driver's license and has access to a vehicle
Preferred Qualifications
- Diploma in Business Administration or a related discipline is an asset
- Proficient in Microsoft Office Suite, with advanced Excel capabilities such as budgeting and reporting tools
- Experience with SharePoint or document management platforms is advantageous
