About Townsville Grammar School
Established in 1888, Townsville Grammar School is one of Queensland's founding Grammar Schools, known for its academic excellence in Northern Queensland. The co-educational, non-denominational school serves approximately 1400 students across its three campuses, including 120 boarders and around 25 international students. It offers education from Pre-Prep up to Year 12, including the International Baccalaureate Diploma Programme for senior students.
Role Overview
The Data & Systems Officer plays an essential role in managing the school's administration and academic systems to ensure clean, reliable data that supports teaching, learning, and school operations. This position focuses on maintaining and overseeing the School's Administration System (SAS) and related data modules.
Key Duties
- Ensure precise and up-to-date records in all SAS modules involving student, parent, staff, enrolment, and medical data.
- Manage timetable and curriculum data settings across campuses on a term and semester basis.
- Oversee academic reporting systems, handling setup, ongoing maintenance, generation, and communication of reports to families.
- Support the Learning Management System and academic markbooks within the TASS software.
- Coordinate key academic events such as Parent Teacher Interviews, subject selection, and student option processes for Years 7 to 12.
- Provide training, orientation, and documentation to staff regarding SAS reporting systems and procedures.
- Produce reports and data extracts to assist school operational needs, ensuring confidentiality and precision.
- Prepare and file data submissions required for Commonwealth and State Government compliance reporting.
- Conduct annual system rollover processes (known as “Year Next”) and manage digital archives.
- Administer the International Baccalaureate Diploma Programme's registration, timeline management, platform oversight (IBIS and Pamoja), and associated budget coordination.
- Offer additional administrative support to the Centre for Teaching & Learning as needed.
Candidate Profile
- Experienced in administrative roles, ideally within an educational environment.
- Skilled in database management, including data entry, upkeep, and report generation.
- Highly attentive to detail with emphasis on accuracy.
- Proficient user of Microsoft Office suite.
- Strong communication and interpersonal talents.
- Adept at handling multiple competing priorities and meeting tight deadlines.
- Well-versed in data privacy and security standards.
- Familiarity with TASS or comparable systems is highly desirable.
Mandatory Requirements
A current Working with Children Blue Card or eligibility to obtain one is compulsory for this position.
