Role Summary
The Customer Service Officer specializing in Spare Parts plays an essential role in providing outstanding customer service throughout the spare parts ordering process. This position involves managing customer inquiries, preparing quotations, processing orders, assisting procurement and logistics, handling customer concerns, and supporting transactions both locally and between companies. Acting as a communication link between customers, suppliers, and internal departments, the role ensures precise order fulfillment and smooth information flow.
Key Responsibilities
- Respond promptly and accurately to customer requests by phone, email, portal, and in-person as needed.
- Manage quotations, sales orders, and procurement activities for customers and suppliers within established timelines.
- Oversee the full spare parts fulfillment cycle, coordinating logistics, import/export activities, and keeping stakeholders updated.
- Prepare and process customer and supplier invoices to enable timely financial reconciliation.
- Maintain accurate records of orders, transactions, and customer data in ERP (SAP) and Microsoft 365 systems.
- Address customer complaints effectively, providing resolutions or escalating issues appropriately.
- Develop and maintain collaborative relationships with customers, suppliers, and internal teams to achieve service excellence.
- Contribute to process improvements and utilize approved digital and AI tools to increase efficiency and service quality.
- Support additional administrative functions within the Customer Support team as required.
Qualifications and Experience
- At least three years’ experience in roles related to customer service, order or spare parts management.
- Proficient in managing quotations, purchase orders, invoicing, and logistics coordination.
- Experience using ERP systems, preferably SAP.
- Strong attention to detail and commitment to accurate record keeping.
- Excellent communication skills with a customer-centric approach.
- Ability to prioritize multiple tasks while maintaining service quality and accuracy.
- Proven experience in collaborating effectively with customers, suppliers, and internal stakeholders.
- Confident in handling customer inquiries and complaints professionally.
Desirable Additional Skills
- Familiarity with import/export processes and international supply chain coordination.
- Experience with procurement or procure-to-pay systems.
- Background in engineering, automation, manufacturing, or spare parts industries.
- Exposure to AI-driven workplace tools such as Microsoft Copilot or similar technologies.
