About the Role
We are looking for a meticulous and proactive Corporate Travel Coordinator to manage all aspects of business travel within our organization. This position demands overseeing smooth travel arrangements for all employees and senior leaders, while ensuring cost-effectiveness, policy compliance, and high-quality service delivery.
Key Responsibilities
- Organize both domestic and international travel including flights, hotels, visa arrangements, airport pickups, and local transport.
- Create comprehensive travel schedules tailored to each traveler's personal needs and business commitments.
- Handle travel bookings specifically for executives and VIPs to guarantee an efficient travel experience.
- Collaborate with travel agencies, airlines, accommodations, and other service providers to secure optimal travel deals and negotiated prices.
- Track travel spending, identify opportunities to reduce costs, and ensure all bookings comply with company travel policies.
- Support travelers continuously, assisting with itinerary adjustments, cancellations, delays, and any disruptions during trips.
- Keep detailed records of travel bookings and provide regular reports to internal teams.
- Verify that all essential travel documents including visas, insurance, and entry permits are complete and current.
- Establish and maintain strong partnerships with internal staff and external travel vendors to enhance the travel program.
- Evaluate current travel processes and suggest improvements to increase service quality, efficiency, and cost savings.
Qualifications and Skills
- At least two years of experience in a role focused on corporate, business, or travel coordination.
- Experience working at a corporate travel agency or managing a large volume of business travel is an advantage.
- In-depth knowledge of international travel logistics, airline routes, hotel accommodations, visa requirements, and travel documentation protocols.
- Excellent organizational abilities, capable of juggling multiple travel requests at once.
- Strong communication and stakeholder management skills are essential.
- Proficient with Microsoft Office suite, especially Outlook and Excel.
- Ability to stay composed under pressure and react swiftly to urgent travel changes.
- Pays strong attention to details, resourceful, and dedicated to providing outstanding service.
