We seek a meticulous and proactive Corporate Administrator to join our Company Secretarial team located in Shannon, County Clare, Ireland. This role involves providing exceptional administrative support to uphold compliance with statutory requirements while delivering excellent client service. The position is onsite with occasional travel by car for managing client-related tasks such as document notarisation and execution.

Key Responsibilities

  • Maintain statutory registers accurately and ensure timely submission of filings to the Companies Registration Office (CRO).
  • Provide assistance with filings on statutory platforms including the Register of Beneficial Ownership, supported by comprehensive training.
  • Handle tasks such as company incorporations, share transfers, and the sealing of official documents.
  • Update and manage internal tracking tools and contribute to internal KYC/AML compliance support.
  • Serve as a primary liaison for internal client manager inquiries regarding company registers and corporate record copies.
  • Coordinate client manager requests involving notarisation and official document signing, ensuring adherence to deadlines and quality standards.
  • Travel to notary sites as needed to facilitate document notarisation and signing, while representing the company professionally during all client engagements.
  • Monitor and stay informed on Irish company law changes and regulatory compliance requirements.
  • Assist with internal governance procedures and maintain accurate corporate records.

Qualifications and Skills

  • Prior experience in Company Secretarial or corporate administration is desirable but not mandatory as full training will be provided.
  • Familiarity with Irish company law and CRO filing processes is advantageous but not essential.
  • Strong organizational abilities and keen attention to detail.
  • Capability to juggle multiple priorities and consistently meet deadlines.
  • Excellent communication and interpersonal skills to effectively engage with clients.
  • Possession of a valid full clean driving license and readiness to travel as required.
  • Competence in Microsoft Outlook, Excel, and fundamental knowledge of PowerPoint.
