Job description

Role overview

This is a hands-on, fast-moving individual contributor position within a multi-entity services company. The role sits at the crossroads of contract administration, legal operations, compliance support, and risk management administration. You will be expected to assess, revise, and help negotiate a wide variety of commercial documents, while also handling recurring operational tasks that keep the Legal, Compliance, and Risk Management functions running smoothly.

The position calls for someone who can work with limited supervision, understand contract language well, and manage repeat administrative workflows with accuracy and consistency. It is also a development-focused opportunity, with room to strengthen and improve the systems that support the company’s legal and compliance infrastructure.

Contract review and negotiation

You will review customer, vendor, lease, administrative, and related agreements to identify legal and contractual obligations. A major part of the job involves marking up and negotiating contract terms with outside parties so they align with the company’s standards and risk position, including adapting provisions for leases, licenses, purchase and sale documents, and indemnity or release language. Some matters may be handled independently, with legal counsel available when needed.

You will also work closely with internal stakeholders so they understand and meet statutory and contractual requirements, particularly where government contracts are involved. In addition, you will help improve the company’s contracting procedures in collaboration with contract administrators and other business partners to keep approvals, execution, and follow-through moving efficiently.

Compliance, entity, and licensing support

The role includes overseeing subcontracting approvals, checking subcontractor compliance with contract and insurance requirements, and managing routine compliance documentation. You will prepare legal and business correspondence and supporting documents related to entity maintenance for review by the Deputy General Counsel.

Other recurring duties include renewing and applying for state registrations and different business licenses, such as city, county, and contractor licenses, across the company’s operating entities. You will also support the creation and upkeep of corporate records and resolutions for a multi-entity organization, as well as research requirements tied to these responsibilities when needed.

Administrative operations and risk management

This role covers high-volume administrative work such as NDAs, vendor onboarding packets, certificate of insurance intake and tracking, subcontractor compliance records, and similar submissions. Accuracy, completeness, and quick turnaround are important. You will also help administer risk management and insurance documentation workflows, including COI requests, claims documentation intake, and recurring renewal and reporting cycles.

Additional responsibilities include coordinating cross-functional projects for the Chief Legal & Administrative Officer’s team, such as meeting preparation, document assembly, status tracking, and follow-up on action items across Legal, Compliance, and Risk Management. You will maintain organized electronic files, retention practices, and naming conventions to support easy retrieval, audit readiness, and document retention obligations.

Experience and qualifications

The ideal background includes at least three years in contracts, paralegal work, or legal/administrative operations, preferably in a corporate environment with high-volume workflows, though law firm experience may also be considered. The role requires strong multitasking ability, speed, prioritization under pressure, and comfort managing competing deadlines.

A college degree or paralegal certificate is preferred, and degrees in business administration, finance, or similar fields are also welcomed. Strong contract interpretation skills, excellent grammar, polished written communication, close attention to detail, organizational strength, initiative, and the ability to work well in a team are all important. Experience negotiating with third parties, using Microsoft Office at an advanced level, and adapting to new software is expected. Familiarity with contract review AI tools and Salesforce contract management is strongly preferred.

You should be comfortable handling large volumes of documents and recurring workflows with consistency, know how to work across legal, procurement, compliance, and risk functions, and understand when to escalate issues versus resolving them independently. The role also requires a process-minded approach, including the use of checklists, intake forms, trackers, and dashboards. Because the work involves sensitive information, discretion and sound judgment are essential.

Business conduct

The company expects the successful candidate to model its values and code of conduct, use integrity and tact in daily interactions, promote safe work habits, treat colleagues with respect, and approach conflict constructively. You will also be expected to follow company policies and procedures and to ask questions that help improve how the work is done.

Working conditions

Standard business hours apply, with occasional evening or weekend work when required. Travel is minimal and expected to be less than 5%.

Equal opportunity and additional notes

The employer provides equal employment opportunity without regard to race, creed, ancestry, sexual or affectional orientation, marital or veteran status, color, religion, sex, national origin, age, disability, genetics, status related to public assistance, or any other characteristic protected by applicable federal, state, or local law.

This job summary is not exhaustive. Duties, responsibilities, and work activities may change at any time with or without prior notice. There is also potential for future supervisory responsibility over contract administrators.
