Role Overview
We host a variety of experiential and corporate events such as branded pop-ups, conferences, networking dinners, and happy hours aimed at introducing HeyGen's technology to creators, entrepreneurs, and companies. We seek a dependable, proactive event specialist who can manage these events comprehensively—from planning and coordination through onsite execution and breakdown—ensuring seamless operations and exceptional participant experiences.
Key Responsibilities
- Lead event management end-to-end, including creating and updating campaign plans, timelines, task assignments, and marketing materials coordination using project tools.
- Monitor and track all event-related deliverables across multiple teams and vendors, identifying potential risks and resolving them promptly.
- Maintain an organized event schedule and communicate progress clearly to all stakeholders.
- Liaise with vendors, internal teams, and contractors to ensure timely delivery and coordination.
- Conduct pre-event meetings and post-event evaluations to derive insights and improve future events, maintaining updated checklists and templates.
- Travel as necessary to manage onsite setups, activations, and event support, including transporting marketing materials.
- Manage logistical prep such as confirming venues and vendors, ordering and verifying delivery of swag and promotional materials, setting up event-related signage, tech equipment, and attendee check-in systems.
- During events, oversee attendee registration, coordinate staff and vendor activities, manage queue systems for interactive sessions, assist attendees with account setups and credit provisioning, distribute promotional items, capture photos and testimonials, and answer participant questions.
- Facilitate networking sessions, including executive introductions with necessary AV support.
- Efficiently dismantle event setups, pack equipment, and settle final venue arrangements.
Candidate Profile
- Experience in event coordination, hospitality, brand activations, or field marketing.
- Strong project management skills, capable of organizing timelines, tracking responsibilities, and managing multiple simultaneous workflows.
- Proficiency with collaboration platforms such as Asana and comfort with Google Sheets or Airtable.
- Exceptional organizational abilities and keen attention to detail.
- Adept at multitasking during dynamic events, managing attendee engagement, queue systems, and technical setups.
- Personable with confidence in engaging diverse participants including founders and content creators.
- Comfort with technology relevant to events such as check-in applications, QR codes, and tablets.
- Physical capability to handle event materials including lifting and transporting items like swag boxes and banners.
- Availability for full event days, often including evenings, with reliable transportation to venues primarily in San Francisco.
- Interest or familiarity with AI and creator tools, with willingness to apply AI solutions to improve event workflows.
Logistics and Compensation
- Position Type: Part-time contract, event-based, hourly employment.
- Work Location: Combination of remote preparation and onsite event presence in San Francisco.
- Work Hours: Approximately 15-20 hours weekly, involving full-day shifts from about 9 AM to 5 PM, with occasional evening events.
- Hourly Pay Range: $25 to $35.
