About the Role
Enable Dental is seeking a dedicated Clinical Coordinator to join our Care Coordination team. This fully remote position is crucial for ensuring the smooth operational flow of clinical appointments. You will be responsible for meticulously scheduling, confirming, and preparing for all patient appointments, acting as a vital link between patients, their Power of Attorney (POA), healthcare facilities, and providers. Your role involves managing pre-appointment necessities like medical clearance, insurance verification, lab case readiness, and medication management, ensuring every appointment is clinically prepared, compliant, and clearly communicated.
Key Responsibilities
- Coordinate and schedule patient treatment and one-off appointments in systems like CareStack and Healier, adhering to designated zones, events, and provider availability, ensuring precise details of time, provider, and location.
- Communicate appointment schedules and any modifications to patients, POAs, and facility staff.
- Manage appointment adjustments and reschedules due to lab case delays, pending medical clearance, or requests from providers or patients.
- Verify and document medical clearance before scheduling appointments.
- Coordinate pre-medication and blood thinner protocols with patients, POAs, and facilities.
- Ensure Face Sheets/Medication Administration Records (FS/MARs) are current for all upcoming appointments.
- Liaise with facilities to acquire any missing or outdated documentation.
- Perform insurance re-verification for appointments to confirm coverage accuracy.
- Monitor lab cases through the Lab Tracker in CareStack and follow up on their status.
- Communicate with laboratories to confirm case progress and expected delivery dates.
- Notify relevant parties and reschedule appointments if lab cases experience delays.
- Manage and respond to incoming calls and emails regarding appointment scheduling and inquiries.
- Collaborate with various internal departments to ensure efficient patient flow and seamless communication.
- Maintain accurate and up-to-date records in CareStack and Healier.
Requirements
- A minimum of 2 years of experience in dental, medical, or clinical scheduling or coordination is preferred.
- Proficiency with dental practice management or EMR systems, such as CareStack, Healier, or similar platforms.
- Exceptional verbal and written communication skills, with the ability to interact professionally with patients, POAs, and facility partners.
- Strong organizational skills, keen attention to detail, and the capacity to manage multiple priorities and meet scheduling deadlines in a dynamic environment.
- Familiarity with insurance verification, medical clearance procedures, and pre-medication protocols is advantageous.
Work Environment & Additional Information
- This is a fully remote position requiring reliable internet access and availability during standard business hours for assigned markets.
- Regular communication with providers, facilities, and team members will occur via phone, email, and virtual platforms.
