About the team

The Faculty of Dentistry at the University of Otago supports the only dental teaching hospital in New Zealand, based in a modern facility in central Dunedin. The team works in a high-performing environment shaped by strong values, where teaching, research, patient care, and community connection are all equally important.

The role

This position sits within Patient Services and supports a busy clinical setting by helping clinics run efficiently, assisting staff and students, and ensuring patients receive a smooth and welcoming service experience. The team handles front-of-house support as well as phone, email, and reception-based assistance.

The University is hiring two Clinic Administrators, each with a different focus: one role supports a specialist clinic area, while the other focuses on rostering and clinical coordination.

Specialist clinic support

In this portfolio, you would take responsibility for a specific clinical specialty such as Endodontics, Orthodontics, or Paediatric Dentistry. The work involves managing referrals, triage, waiting lists, and appointment scheduling so patients move through treatment in a coordinated way. You would be the first professional contact for patients and whānau, offering clear, empathetic support through complex treatment pathways, while also assisting specialist clinicians and postgraduate students.

Rostering and clinical coordination

This portfolio centres on coordinating student appointments, staff allocation, and the use of clinical teaching spaces. Duties include arranging chair usage across the faculty, matching students, patients, and supervisors to appointments, supporting advance planning for teaching clinics, keeping track of student training topics, and reviewing scheduling and workflow to improve efficiency and address any issues.

The ideal person is calm, organised, and confident building positive working relationships, even in demanding situations. You should enjoy solving problems, working closely with people, and improving systems and processes.

Additional information

These are permanent, full-time roles based in Ōtepoti, Dunedin, with a 37.5-hour working week.

Remuneration is offered on a range from $63,508 to $68,185, with a top band of $73,640.
