Job description

Role summary

This position is for an experienced client servicing and event operations professional to help deliver high-end B2B conferences, summits, award shows, and closed-room CXO events in Mumbai. The job is deeply execution-focused and involves close coordination with leadership, production vendors, and internal teams to ensure every part of the event runs smoothly.

Core responsibilities

The role covers end-to-end operational support across event planning, venue coordination, speaker handling, production, branding, vendor management, and on-ground delivery.

Event planning and coordination

  • Contribute to the full planning cycle for conferences, summits, and CXO-format events.
  • Help prepare detailed schedules, timelines, and event run-of-show documents.
  • Monitor action items and milestone completion to keep work on track.
  • Support live event execution and handle operational issues as they arise.

Venue and hospitality management

  • Assist with assessing and coordinating venues.
  • Plan layouts, seating arrangements, and other operational venue requirements.
  • Handle food, beverage, and hospitality coordination.
  • Support guest lists, room blocks, and stay-related logistics where required.

Speaker and guest management

  • Arrange travel, accommodation, and local transfers for speakers.
  • Maintain clear and organized communication with speakers and their representatives.
  • Help manage green room operations and speaker movement on event day.

Production and branding coordination

  • Work with agencies and internal stakeholders on stage setup, branding, and audio-visual needs.
  • Check event creatives and confirm sponsor branding obligations are fulfilled.
  • Support rehearsals and technical walkthroughs before the event.

Vendor, budget, and cross-functional support

  • Coordinate with vendors and production partners throughout the event lifecycle.
  • Track spend and assist with basic budget monitoring.
  • Support post-event settlement and record keeping.
  • Work in sync with editorial, marketing, and sales teams.
  • Ensure sponsor commitments are delivered as agreed.
  • Liaise with broadcast partners when needed.

Experience and working style

This is a hands-on live-events role that calls for strong coordination skills, a meticulous approach, the ability to manage several priorities at once, and comfort working in fast-paced, high-pressure environments.

Requirements

  • 4 to 7 years of professional experience in event operations or conference management.
  • Prior exposure to B2B events or premium-format events is preferred.
  • Strong vendor coordination and stakeholder management ability.
  • Working knowledge of budgeting and cost tracking.
  • Capability to handle multiple deadlines and event timelines at the same time.
  • Careful, organized, and detail-oriented working method.
  • Comfortable operating in demanding live-event situations.
