Role overview
Hold Brothers Capital, LLC is looking for an experienced Chief of Staff / Administrative Manager to lead a team of personal assistants supporting the Chief Executive Officer of a financial services company. This position is focused on making the CEO’s personal and professional life run more smoothly through strong judgment, top-tier communication, and consistent professionalism and confidentiality.
The right person will be highly organized, proactive, and able to spot needs before they are raised. You should be comfortable solving problems on your own, keeping operations running efficiently, and maintaining a positive, can-do approach that helps the assistant team stay motivated and effective.
Key responsibilities
- Lead, train, and onboard the CEO’s personal assistant team.
- Handle sensitive and confidential matters with strong discretion and sound decision-making.
- Build, delegate, and track projects across the team while monitoring daily workload.
- Oversee complex calendar management for both personal and business commitments, including scheduling, coordination, confirmations, and communication with household and office staff.
- Route mail, email, and other communications to the correct internal or business contacts.
- Coordinate domestic and international travel, transportation, dining reservations, packing support, events, and personal/social itineraries.
- Manage residence and office needs, including buying and restocking kitchen, household, toiletry, and back-stock items.
- Take on special assignments that may involve detailed and extensive research.
Requirements
- A bachelor’s degree is mandatory.
- Candidates must be able to share SAT and/or ACT scores to be considered.
- At least five years of experience supporting senior executives is strongly preferred.
- You should be a collaborative team member who can also work very effectively without supervision.
- Strong leadership ability, emotional intelligence, and the capacity to inspire and guide others are important.
- Salary is negotiable based on experience.
