About the Role

We are on the lookout for a highly skilled, proactive, and execution-focused Chief of Staff to assist the Group Chief Operating Officer (GCoO) in driving operational efficiency throughout the organization. This position transcends traditional executive assistance, acting as a strategic partner and multiplier to the GCoO by coordinating cross-departmental initiatives, supervising site operations, tracking project progress, and ensuring seamless coordination between executive decisions and operational output.

The most suitable candidate will be analytical, organized, detail-focused, and adaptable to both executive and hands-on environments within a dynamic real estate development context.

Key Responsibilities

  • Act as a trusted advisor and strategic aide to the GCoO.
  • Assist in planning, prioritizing, and implementing critical business projects.
  • Create executive briefs, reports, presentations, and documentation supporting decision-making.
  • Monitor strategic priorities and ensure prompt completion of key tasks.
  • Manage operational activities across various project sites.
  • Oversee project progress, evaluate contractor performance, and ensure standards and timelines are met.
  • Identify operational risks and bottlenecks and facilitate timely resolutions.
  • Conduct site inspections as necessary to evaluate project and operational status.
  • Lead cross-functional projects involving construction, procurement, finance, and commercial teams.
  • Develop and maintain dashboards, key performance indicators, and reports.
  • Support implementation of operational systems, policies, and process enhancements.
  • Manage the GCoO’s calendar, priority tasks, and important engagements.
  • Coordinate leadership meetings, operational reviews, and executive forums.
  • Ensure smooth communication between the GCoO’s office and internal parties.
  • Maintain confidentiality with the utmost professionalism.
  • Serve as a liaison among the GCoO, department heads, project managers, contractors, consultants, and external partners.
  • Follow up on action items and uphold accountability across teams.
  • Assist in preparing and coordinating executive-level meetings and presentations.
  • Identify inefficiencies and propose actionable improvements.
  • Facilitate development and enforcement of Standard Operating Procedures.
  • Provide routine updates on operational and performance matters to the GCoO.

Qualification and Experience

  • Bachelor’s degree in Engineering, Construction Management, Business Administration, Project Management, or related fields.
  • Postgraduate qualification such as an MBA is advantageous.
  • Between 5 to 10 years of experience in operations, project management, construction management, consulting, or executive support roles.
  • Preferably experienced in real estate development, construction, infrastructure, or related sectors.
  • Proven track record of collaborating closely with senior executives like COO, CEO, or Managing Director.

Skills and Attributes

  • Excellent project management and organizational capabilities.
  • Strong analytical skills, problem-solving aptitude, and sound decision-making abilities.
  • Outstanding communication and stakeholder management talents.
  • Comfortable functioning in both boardroom settings and field/site environments.
  • Advanced knowledge of Microsoft Excel, PowerPoint, Word, and reporting tools.
  • Detail-oriented with a focus on delivering results.
  • Highly disciplined, proactive, and methodically structured in approach.
  • A strong sense of ownership, accountability, and urgency.
  • Integrity and discretion in handling sensitive information.
  • Adaptability to fast-paced, changing work conditions.
  • Excellent interpersonal skills with the capability to influence without formal authority.

What We Offer

  • Direct collaboration with senior leadership impacting key business decisions.
  • Exposure to large-scale real estate development projects.
  • Clear pathways for advancement into senior operational and executive leadership roles.
  • A competitive salary package reflective of experience and expertise.
