Role Overview
The Butler position sits within Front Office / Guest Services and reports to the Duty Manager, or to the Front Office Manager in the Duty Manager’s absence. The purpose of the role is to provide consistent day-to-day butler service to hotel guests in line with the property’s standards.
What You Will Do
- Deliver attentive service from arrival through departure, covering far more than just check-in and check-out.
- Carry out detailed pre-arrival research for assigned villas and share relevant findings with the required departments and leaders before the guest arrives.
- Communicate professionally with guests before arrival through email or WhatsApp to create a strong first impression.
- Ensure each guest receives prompt, courteous, proactive, and personalized care throughout their stay.
- Keep butler work areas clean and organized, including occupied and vacant rooms, pantries, storage areas, equipment, perishables, and stationery where applicable.
- Inspect assigned villas before arrival to confirm the setup meets the highest standards and matches guest preferences.
- Monitor expiry dates on perishables and use resources carefully, including minibar stock, before guest arrival.
- Coordinate with Private Dining regularly so amenities, resident preferences, and similar requests are managed smoothly.
- Maintain a polished appearance, discipline, and efficient work habits at all times.
- Use tactful upselling to promote hotel products and facilities in line with targets set by management.
- Greet repeat guests daily and keep guest profiles current.
- Give special attention to long-stay guests, occasion celebrations, and VIPs, with close attention to individual needs and requests.
- Maintain strong communication with colleagues and managers regarding guest matters.
- Record guest issues, maintenance concerns, feedback, and challenges in the guest logbook before the end of each shift.
- Attend daily briefings and stay updated on guests, functions, and hotel activities.
- Understand guest hierarchy and room categories, including different VIP levels.
- Protect guest privacy and avoid discussing personal information with coworkers.
- Flag any unattended valuables or belongings in guest rooms to a supervisor.
- Report lost-and-found items to the Supervisor and Housekeeping Coordinator.
- Keep reports and records up to date and meet all deadlines.
- Promote excursions and third-party activities to help generate revenue.
- Arrange laundry and shoeshine services promptly while respecting guest preferences.
- Check all amenities, laundry items, and other deliveries before taking them to guests.
- Offer in-villa check-in and check-out when room availability permits.
- Assist with luggage handling for arrivals and departures when drivers are unavailable so the guest experience remains seamless.
- Update guest preferences and profiles in the system for assigned villas during check-in, ensuring details are accurate.
- Meet assigned guests during breakfast service and plan the day accordingly.
- Greet guests when they depart for excursions and return, and manage inter-facility transfers on the island carefully.
- Act as the main point of contact for guest-related needs throughout the stay and ensure a highly personalized experience.
- Create memorable guest moments in line with the global “The Butler Did It” initiative.
- Update guest history in Opera after departure.
- Complete a thorough handover to the Buddy Butler and managers at the end of shift, before leave, or on days off.
- Communicate departure details, room moves, and appointments in writing so nothing is missed.
- Perform daily bucket checks for assigned guests to ensure billing accuracy.
- Process rebates or adjustments where needed, following manager approval and established procedures.
- Take guest meal orders and communicate them as needed according to the meal period.
- Manage BEOs for guest events to support effective coordination.
- Handle payments, pre-authorizations, paid-outs, and credit checks for assigned guests during their stay.
- Encourage use of guest feedback channels such as TrustYou, online platforms, and TripAdvisor to support stronger review scores.
- Show discretion and courtesy when entering private guest spaces.
- Support Front Office operations to help ensure a smooth and exceptional guest stay experience.
- Follow all occupational health, safety, and hygiene procedures.

Qualifications
- Post-secondary education is required.
- Knowledge of housekeeping and guest relations is important.
- At least 1 year of experience as a Butler in a luxury hotel setting is required.
- A degree in Hotel Management is considered an advantage.
