Role overview

An exciting internal opportunity has opened within the Surgery Division for a highly organised and driven Business Support Manager. The role sits within the Head and Neck directorate and reports to the Assistant Directorate Manager. It is focused on helping the Divisional Management Team deliver core business activity across the division.

The post holder will provide broad business, administrative and project support to help coordinate, monitor and deliver divisional priorities. The role includes contributing to performance reporting, governance processes, business case preparation and service improvement work, while collaborating closely with both clinical and managerial colleagues.

This position will suit someone who enjoys a varied workload, solving problems, and working as part of a team in a busy healthcare setting. It also offers the chance to build experience in operational management and service transformation.

Main duties

Key responsibilities include supporting the Divisional Management Team with business and project activity, preparing materials for governance meetings, and helping ensure actions and decisions are tracked through to completion.

The role involves producing reports, performance dashboards and presentations to aid decision-making, supporting business case development, and assisting with service improvement initiatives and workforce or financial planning.

You will also maintain important divisional documentation such as Standard Operating Procedures and Terms of Reference, and help with procurement and budget-related processes in line with Health Board policy.

Qualifications and knowledge

Applicants should be educated to degree level, hold a relevant NVQ, or have equivalent Health Board experience. Strong working knowledge of Health Board IT systems and applications is required, including Microsoft Office, Welsh PAS and Clinical Work Station (CWS).

Further study or personal development is expected, such as an ECDL qualification. A sound understanding of financial processes, including expenses, and knowledge of project management processes are also required.

Welsh language skills are desirable at levels 1 to 5 across understanding, speaking, reading and writing. Additional desirable knowledge includes Single Cancer Pathway (SCP) and associated targets, as well as a project management qualification.

Experience

You should have experience in a similar NHS administrative role, along with substantial experience in performance and data management, including routine reporting, trend analysis, and identifying issues.

The role also calls for experience managing complex or sensitive information professionally, strong staff management experience including recruitment and HR processes, the ability to work to tight deadlines, and experience dealing with informal patient complaints and concerns.

Experience delivering training and creating training materials for new starters and refresher sessions for existing staff is also required. Welsh language experience is again desirable.

Skills and attributes

You must be able to work confidentially and professionally, show excellent organisation, and plan and prioritise both your own and team workloads effectively.

Strong leadership, the ability to build effective working relationships, and resilience under sustained pressure while maintaining high standards are essential.
