Job description
Role Overview
This position entails welcoming and guiding visitors, students, parents, and staff while offering clerical support as necessary within the school district setting.
Primary Duties and Responsibilities
- Manage a central telephone switchboard system, routing calls to correct personnel, departments, or offices and handling message transmission and receipt.
- Welcome and assist visitors, students, parents, and staff, directing them appropriately within the district’s departments.
- Provide callers with general information about district events, facilities, and school boundaries.
- Translate verbal and written communication between English and Spanish, including documents and correspondence for various departments.
- Carry out clerical assignments such as typing, copying, filing, and collating as directed by the Assistant Superintendent of Human Resources.
- Support district administrators with routine clerical tasks as needed.
- Collect and organize data; prepare planning calendars, schedules, and bulletins.
- Clip and maintain news articles related to educational developments at state, federal, and local levels.
- Maintain usage schedules for district facilities including the Board Room and conference rooms.
- Handle mail reception, sorting, distribution, including certified and express mail.
- Operate as the designated key operator for the copy machine.
Qualifications and Competencies
- High school diploma or GED with additional coursework in office procedures or a minimum of two years clerical experience, including at least six months in an educational environment.
- Possession of a valid California Driver’s License.
- Familiarity with centralized telephone switchboard operation, telephone etiquette, and interpersonal communication skills demonstrating tact, courtesy, and diplomacy.
- Knowledge of modern office procedures, equipment, and applications such as Microsoft Word, Excel, and GroupWise.
- Proficiency in correct English and Spanish grammar, vocabulary, punctuation, and spelling.
- Understanding of general postal procedures and regulations.
- Ability to type accurately at a speed of 45 words per minute.
- Capability to follow oral and written instructions clearly and maintain effective collaborative relationships.
- Competence in problem-solving in standardized scenarios and routine clerical functions including record keeping, typing, filing, and duplicating.
Physical and Work Environment Requirements
- Regular sitting, handling, talking, and hearing; occasional standing, walking, reaching, and bending.
- Ability to lift or move weights up to 10 pounds regularly and up to 25 pounds occasionally.
- Visual requirements include close, distance, peripheral vision, and focus adjustment.
- Typical workplace noise levels are moderate.
