Role Overview
Smart & Biggar is seeking meticulous, cooperative, and service-oriented bilingual Billing Clerks to join their national finance team. This newly created position addresses the firm’s ongoing expansion and focuses on managing the full billing lifecycle including invoice preparation, e-billing submissions, WIP tracking, and addressing billing inquiries for a national portfolio.
Key Responsibilities
- Prepare, review, and issue client invoices adhering to firm policies and delegated authority guidelines.
- Generate and distribute invoice drafts (pro formas) for review and approval.
- Submit invoices via electronic billing systems and client portals, ensuring accuracy and compliance with client requirements.
- Monitor invoice statuses, analyze rejections or billing adjustments, and resolve any issues promptly.
- Engage with internal and external clients to clarify billing discrepancies and collect missing information.
- Collaborate with firm professionals to review work in progress (WIP) and support timely invoicing.
- Handle billing adjustments, write-offs, transfers, and reissued invoices according to authorized protocols.
- Maintain billing profiles, client instructions, and related documentation.
- Respond promptly and professionally to billing inquiries, prioritizing based on urgency and required action.
- Participate in month-end and year-end billing activities, including reconciliations and reporting requirements.
- Perform additional administrative and financial tasks as needed related to billing.
Qualifications and Skills
- Post-secondary education in accounting, finance, or a related discipline is preferred.
- Minimum one year of relevant billing or administrative experience, ideally within a professional services environment.
- Fluency in both French and English, with excellent English proficiency due to the international client base.
- Experience with electronic billing platforms; familiarity with 3E Elite or E-Billing Hub is advantageous.
- Proficient in Microsoft Office suite, especially Excel.
- Strong attention to detail with the ability to manage competing priorities effectively.
- Excellent communication, problem-solving, and organizational skills.
- Ability to work independently in a fast-paced setting with tight deadlines.
Compensation
The base salary range for this role is CAD 45,000 to 55,000 per year, based on factors such as location, relevant knowledge, prior experience, qualifications, and internal equity.
