Job description

Position Overview

We are looking for a detail-oriented and highly organized Attorney Assistant to support attorneys and team members in a demanding legal setting. This role is suited for a proactive individual who can juggle various tasks, establish strong client connections, and act as a dependable partner to legal professionals.

Key Responsibilities

  • Coordinate attorneys' schedules, arrange meetings, and collaborate with clients and colleagues across multiple time zones.
  • Act as the main liaison for clients, delivering responsive and professional service of high quality.
  • Manage attorney emails and phone communications, prioritizing and organizing workflow and administrative duties.
  • Maintain accurate client and contact data within firm databases and marketing platforms.
  • Initiate new cases, perform conflict checks, and draft engagement letters.
  • Input, review, amend, and finalize time entries for attorneys.
  • Manage monthly client billing including electronic billing processes, proforma reviews, narrative editing, budget monitoring, and addressing client queries.
  • Prepare expense reports and facilitate vendor invoice processing.
  • Arrange travel domestically and internationally for the attorneys.
  • Create, edit, format, proofread, and finalize legal and business documentation.
  • Systematically organize client files, including retrieval and coordination of off-site storage.
  • File legal documents with state and federal courts; prior experience with e-filing is mandatory.
  • Compile responses to annual and supplemental audit letters.
  • Prepare quarterly reports for the Lobbying Disclosure Act.
  • Coordinate logistics for conference calls, video conferences, meetings, catering, and audiovisual needs.
  • Support special projects and assist team members as required.
  • Maintain utmost confidentiality of firm and client information at all times.
  • Leverage technology and firm resources to enhance efficiency and client service delivery.

Qualifications and Skills

  • Demonstrated strong organizational skills with the ability to prioritize and multitask effectively.
  • Excellent oral and written communication capabilities.
  • Advanced skills in Microsoft Office Suite applications.
  • Meticulous attention to detail with a dedication to producing high standard work.
  • Proficient problem-solving skills with a forward-thinking work attitude.
  • Adaptability to manage changing priorities and deadlines efficiently.
  • Strong commitment to delivering exceptional client service.

Preferred Experience and Education

  • At least two years of experience providing administrative support.
  • Background working in a law firm or professional services setting.
  • Experience with legal billing and electronic billing systems.
  • Familiarity with legal terminology, court processes, and handling legal documents.
  • Microsoft Office Specialist (MOS) certification is a plus.
  • An associate or bachelor's degree is preferred.

Work Schedule and Compensation

The normal working hours are Monday to Friday from 9:00 a.m. to 5:30 p.m., with some flexibility for extended hours or adjusted schedules as business demands. The estimated annual base salary range for this position in Baltimore is from $65,000 to $92,500, reflecting a good-faith estimate at the time of posting; actual pay may vary based on candidate qualifications.

This role may also be eligible for additional compensation such as annual discretionary bonuses. Benefits include medical, dental, vision insurance, a 401(k) retirement plan, and paid time off, subject to plan terms.
