Role Overview
We are seeking a meticulous and solution-oriented People & Culture Operations Associate to support the daily employee experience throughout the organization. This operational role emphasizes managing smooth onboarding, assisting employees in both field and corporate roles, and maintaining efficient systems, data accuracy, and processes.
Key Responsibilities
- Conduct high-volume onboarding for both craft/field and corporate staff.
- Manage new hire integration across systems, including HRIS, onboarding platforms, timekeeping, and project management tools.
- Coordinate onboarding logistics with hiring managers and information technology teams.
- Process employee status changes such as rehires, terminations, and updates.
- Maintain precise and reliable employee records, including payroll direct deposits, contact information, and tax documents.
- Ensure employee data consistency across HR systems and support timekeeping and troubleshooting.
- Assist with compliance reporting, audits, and maintaining audit-ready personnel files including I-9 documentation.
- Identify inefficiencies and improve manual or outdated workflows.
- Review and process weekly sick time submissions accurately.
- Facilitate employment verification requests and associated documentation.
- Coordinate benefits administration efforts, including invoice management and vendor collaboration.
- Perform weekly audits on benefits enrollment to ensure payroll alignment.
- Resolve discrepancies between benefits selections and payroll deductions in partnership with payroll teams.
- Serve as the primary contact for employee inquiries regarding benefits.
- Support onboarding benefits enrollment and life event changes.
- Manage leave of absence processes in collaboration with leave administration vendors, guiding employees through submissions, answering questions about policies, and coordinating payroll adjustments during leaves.
- Lead training sessions on onboarding systems and related procedures.
- Document and maintain standard operating procedures (SOPs) and identify opportunities to improve operational efficiency.
- Act as a resource for employee questions and support culture and engagement activities, including events and team programs.
Qualifications
- Minimum of two years’ experience in HR operations, People Operations, or related administrative roles.
- Exceptional attention to detail and ability to handle high-volume, process-driven tasks.
- Experience working with multiple HR information systems.
- Strong organizational and time management skills in fast-moving environments.
- Effective communication skills adaptable to field and corporate teams.
- High discretion and capacity to manage confidential information.
- Preferred experience supporting construction, field-based, or geographically dispersed workforce.
- Knowledge of HR compliance requirements.
- Proven ability to enhance or document operational processes.
Working Environment
This position primarily operates in an office setting, with periodic exposure to physical job sites and construction trailers, including on-site walking.
