Role overview

The Associate Director of Admission, Director of Outreach is an important part of the Admission and Enrollment Management team. The position focuses on bringing in, assessing, and enrolling students from Pre-K 3 through 8th grade while also building strong ties with prospective families, feeder schools, and the wider community. The role calls for close coordination with faculty, staff, and school leaders to create a smooth and welcoming admission journey.

Admissions and application review

  • Review applications for Pre-K 3 through 8th grade applicants and share observations with the Admission Committee.
  • Work with the Admission Team to shape outreach strategies for priority audiences.
  • Help improve the admissions process and the experience for applicants over time.

Events, tours, and family onboarding

  • Organize and run school-wide admission events with faculty, staff, and administrators.
  • Build event experiences that are tailored to specific audiences and encourage meaningful participation.
  • Lead campus tours for prospective families and guests.
  • Plan onboarding gatherings for newly enrolled families, such as parent socials and orientation programs.

Student ambassador program

  • Work with Middle School leadership to shape the application and interview process for the Student Ambassador Program.
  • Develop training for ambassadors covering communication, tour leadership, and school knowledge.
  • Create tour support materials and other resources.
  • Run meetings and keep communication consistent with student ambassadors.

Communication and relationship management

  • Act as the first point of contact for families with admission questions.
  • Reply to email and phone inquiries promptly and professionally.
  • Write and send admission communications to large audiences.
  • Coordinate with faculty and staff on classroom visits, evaluations, and other admission needs.
  • Build and maintain relationships with prospective families, current families, and external school partners.

Program knowledge and representation

  • Keep a strong working knowledge of the Early Childhood and Middle School programs.
  • Clearly explain what makes the school experience distinctive to prospective families.
  • Stay current on campus routines, schedules, and special events to support tours and conversations.

Applicant evaluation and shadow visits

  • Partner with leadership and faculty to design assessment tools that reflect the school’s mission.
  • Train staff on expectations for admission evaluations and interviews.
  • Schedule and oversee student shadow visits, including gathering feedback.
  • Maintain documentation and records connected to applicant reviews.

Outreach and partnerships

  • Serve as the contact point for feeder schools through visits and events.
  • Represent the school at fairs, information sessions, and community gatherings.
  • Work with the Parents Association on volunteer efforts tied to admission outreach.

Surveys, forms, and data management

  • Create and administer surveys and forms for both internal and external audiences.
  • Keep applicant information accurate and up to date.

Marketing and communications collaboration

  • Work with the Communications team to keep admission content accurate, appealing, and consistent across platforms.
  • Assist with marketing assets, videos, and promotional materials.
  • Support branding for admission events and outreach campaigns.

Technology and systems

  • Use admission systems and databases effectively.
  • Build and manage spreadsheets, mail merges, and event materials.
  • Support data tracking and reporting needs.
