Currently undergoing an impressive transformation aimed at meeting top global luxury hospitality standards, the resort is preparing for the grand opening of the Four Seasons Resort Ajman at Al Zorah in 2028.

Role Overview

The Assistant Reservations Manager will report to the Commercial Director, playing a pivotal role in optimizing the resort's room performance. The role demands a blend of analytical prowess and a deep understanding of the guest experience, aiming to streamline the Reservations operations and support informed commercial decisions to maximize occupancy, rates, and revenue.

Key Responsibilities

  • Oversee daily Reservations operations and manage assigned team members.
  • Respond promptly and accurately to telephone, email, online, group, and internal booking inquiries.
  • Ensure high standards in reservation quality, accuracy, guest profiles, special requests, payments, and confirmations.
  • Communicate booking terms like rates, packages, policies, deposits, and conditions correctly.
  • Validate reservation details such as market segmentation, source and rate codes, guest preferences, and billing instructions.
  • Track pending bookings, waitlists, cancellations, no-shows, deposits, and follow-ups.
  • Collaborate with Front Office and Guest Relations concerning VIPs, repeat guests, special occasions, long stays, and notable arrivals.
  • Support group bookings by managing rooming lists, blocks, cut-off dates, wash factors, and contracts.
  • Handle escalated inquiries professionally, escalating sensitive issues as necessary.
  • Maintain updated procedures, scripts, templates, and records for Reservations.
  • Assist with daily reporting on pick-ups, pace, production, channels, and segments.
  • Support group evaluations, displacement analysis, quotation processes, and inventory management.
  • Contribute to preparations for revenue meetings, budgets, business plans, and periodic forecasts.
  • Lead and mentor Reservation team members, ensuring compliance with procedures and service excellence.
  • Monitor staff schedules, workloads, productivity, and training needs.
  • Aid in the implementation, testing, and upkeep of reservations, revenue, and distribution systems.
  • Play an active role in the resort’s transition and pre-opening activities including process development, system readiness, training, and commercial planning.

Preferred Qualification & Experience

  • Bachelor’s degree in Hospitality, Business Administration, Finance, Revenue Management, or related fields preferred.
  • Between 3 to 5 years of advancing experience in Hotel Reservations.
  • Prior supervisory or assistant management experience.
  • Solid understanding of reservations operations, inventory control, market segmentation, and distribution channels.
  • Experience at luxury hotels, resorts, or global hospitality brands is a plus.
  • Strong analytical capability to interpret booking trends, reports, and market insights.
  • Exceptional organizational skills, accuracy, and a detail-oriented mindset.
  • Excellent communication abilities and team leadership skills.
  • Proficient with Opera or similar PMS, revenue management software, CRS, channel management tools, benchmarking systems, and Microsoft Excel.
  • Additional language skills such as Arabic or Russian are advantageous.
