Job description
Role Overview
We are seeking an Assistant Producer specializing in Media Production and Immersive Film to join our project teams. This position supports various tasks to help streamline operations and ensure the success of our ambitious design projects. The ideal candidate has prior professional experience in roles such as Assistant Producer, Coordinator, Runner, Administrator, or Project Manager. Although direct experience in media production and immersive film is not mandatory, applicants should explain how their skills relate in their cover letter. This is a mid-level role requiring reliability and attention to detail.
Main Duties
- Organize and schedule project meetings, assist Producers with diary management, and take minutes as needed.
- Manage travel and accommodation arrangements for team members.
- Handle visa processing for project teams across different countries.
- Prepare and distribute schedules, itineraries, tour and travel documentation.
- Support Producers during projects including onsite assistance during technical phases.
- Maintain company-wide databases with accurate information critical for decision-making.
- Compile necessary data for tender and pitch preparation.
- Coordinate availability checks and contract details for technical and production freelancers such as programmers, lighting and sound designers.
- Assist in third-party licensing processes.
- Help organize shoots for content creation and behind-the-scenes filming.
- Conduct research relevant to projects as requested by the team.
- Collaborate with Producers to prioritize sustainability and reduce the company’s carbon footprint.
- Ensure designs consider accessibility to reach the widest possible audiences.
- Partner with Marketing & Communications to update project pages on the company website and social media.
- Assist with final project documentation for both internal and external distribution.
- Act as deputy for Producers and Project Managers when required.
- Provide basic catering support for meetings.
- Perform additional administrative tasks as reasonably assigned.
- Serve as a health & safety and Fire Warden representative when necessary.
Candidate Profile
- At least one year of experience in administration, coordination, project management, or a producer support role.
- Strong interpersonal skills enabling effective collaboration with diverse stakeholders.
- Proven ability to work efficiently in high-pressure environments and meet tight deadlines.
- Understanding of creative workflows and specialized craft within project contexts.
- Commitment to maintaining high-quality standards across all tasks.
- Interest or knowledge of production across different sectors and international markets.
- Experience in budgeting and budget management.
- Willingness to travel internationally for projects.
- Flexibility to work evenings and weekends as required, with a Time Off in Lieu policy in place.

Additional Desired Skills
- Experience in project sales and client negotiation.
- Proficiency in foreign languages.
- An established network of contacts within commissioning bodies and potential clients.
Contract & Location
This is a permanent role based in our London office. We encourage regular in-person collaboration but offer hybrid working arrangements contingent on project needs.

Compensation
