Key Responsibilities
- Provide research assistance to Producers and Curators by collecting information about artists, institutions, scientific collaborators, and relevant technologies.
- Help prepare exhibition proposals, briefing documents, background material, and internal presentations to facilitate early concept development.
- Track and coordinate exhibition project timelines, schedules, milestones, and deliverables, ensuring smooth progress.
- Organize meetings, set agendas, and follow up with departments including Programmes, Marketing, Museum Services, AV/Tech, and Visitor Experience.
- Maintain comprehensive files, project trackers, and shared documentation related to exhibitions.
- Assist with project reports, administrative paperwork, and internal communication tasks.
- Support compliance with Workplace Safety and Health guidelines, organizational protocols, and museum standards by assisting in risk assessments and safe work procedures.
- Review exhibition layouts to assess accessibility and visitor flow, escalating issues when necessary, while learning conservation and exhibition care practices.
- Participate in installation and deinstallation activities, including site inspections, briefing sessions, coordination with contractors, and documenting progress.
- Assist with loan administration by preparing loan requests, managing loan documentation, coordinating shipping logistics, and maintaining condition files.
- Support registrars during condition reporting, packing/unpacking, crate tracking, and updating environmental or movement records.
- Compile and edit exhibition content including labels, text panels, guides, and web copy, along with managing image permissions and copyright tracking.
- Help prepare draft contracts and service agreements; liaise with legal teams to track contract processes, deadlines, and documentation.
- Support budget and procurement processes by gathering quotations, raising purchase requests, processing invoices, and maintaining financial records.
- Coordinate hospitality and travel arrangements such as accommodation, flights, per diem, access passes, and scheduling for visiting collaborators.
- Maintain exhibition correspondence, filing systems, and digital archives; assist with post-exhibition documentation and archiving.
- Assist during events and VIP visits by managing guest lists, coordinating logistics like registration and hospitality, and providing onsite support.
- Attend to general inquiries, manage exhibition-related databases, participate in wider museum events, and execute additional duties as assigned.
Candidate Profile and Requirements
- Possession of a Bachelor’s degree preferably in Arts Management, Museum Studies, Design, Communications, or a related discipline.
- One to two years of relevant experience in museums, galleries, event production, or cultural institutions is desirable.
- Demonstrated strong organizational skills with meticulous attention to detail.
- Excellent verbal and written communication skills in English.
- Effective interpersonal abilities to negotiate, collaborate, and reach consensus with stakeholders.
- Diplomatic handling of sensitive situations and the ability to multitask in a fast-paced environment.
- Capability to work both independently and as part of a team.
- Familiarity with museum standards such as collections care, workplace safety, and accessibility is advantageous.
- Proficiency in MS Office and project management tools; experience with collections databases is a plus.
- A proactive, resourceful, and self-driven approach to problem-solving.
