Role overview
This position supports the CEO office and reports to the Executive Assistant to the CEO. The assistant will help manage both business and personal priorities for the CEO, support the Chief of Staff, and coordinate closely with other partners in the CEO office. Brazilian Portuguese fluency is essential. A major part of the job is handling a complex global travel schedule, while also using sound judgment, strong communication, and excellent organizational ability to balance several priorities at once.
What you will do
- Oversee a demanding international travel calendar, coordinating with security, aviation, corporate travel, visa support, event teams, communications and marketing partners, and regional assistants.
- Keep the CEO office organized through Teams and SharePoint so that plans and updates stay aligned.
- Manage executive calendars with a high level of precision, including external meetings, personal appointments, board sessions, speaking engagements, conferences, and other high-profile events.
- Resolve schedule conflicts quickly, adjust to last-minute changes, and act as the main liaison between the CEO office and on-site contacts.
- Handle core administrative work such as contact lists, corporate and operating calendars, expense reporting, and other day-to-day office tasks.
- Support the Chief of Staff with administrative coordination.
- Help develop and carry out standard operating procedures that create a smoother, more proactive environment for leadership meetings and customer business reviews.
- Act as a secondary contact for internal and external stakeholders, including sensitive and confidential matters, and decide on the right action, referral, or reply based on CEO preferences and company policy.
- Take on additional projects and duties that benefit the organization.
- Coordinate travel-related items such as aviation, business operations calendars, country entry requirements, itinerary creation, ground transportation, hotels, event registrations, speaking or media engagements, and visas.
- Handle other office support tasks such as EA backfill coverage, personal appointments, events, customer visits and dinners, expense management, facilities tickets, lunch ordering, and recurring morning notices.
Requirements
- High school diploma.
- At least 8 years of relevant administrative experience in a corporate setting supporting senior executives.
- Fluency in Brazilian Portuguese, both spoken and written.
- Strong planning and organization skills with exceptional attention to detail.
- Ability to manage confidential information with integrity and discretion.
- Experience coordinating international travel.
- Comfort taking direction when needed.
- Sound judgment when deciding priorities and allocating time.
- Capability to complete a large volume of work with minimal supervision.
- Quick response time and a strong sense of urgency when situations change.

Compensation and benefits
The posted pay range for this San Diego role is $47.81 to $71.71 per hour. Compensation is only one part of the overall package.
