Role Overview
The Assistant, Media Planner/Buyer supports media planning and buying teams with day-to-day coordination, documentation, reporting, and platform inputs. This hybrid role is based in Toronto, Ontario, Canada, and involves working closely with internal teams and external vendors to keep planning, buying, and billing workflows moving accurately and on time.
Key Accountabilities
- Help media planners and buyers build plans, points of view, reports, and presentation materials.
- Keep templates current and apply changes requested by the planning and buying team.
- Support the media planning process from start to finish.
- Prepare and manage materials such as rankers, insertion orders, buy sheets, trafficking details, specification documents, and deadline charts.
- Enter purchased media into the agency stewardship system, including MediaOcean/Prisma.
- Pull reports and data for the planning and buying team to examine and interpret.
- Use research tools and vendor platforms to gather data accurately.
- Watch for patterns, irregularities, trends, and anomalies in data.
- Handle billing workflows and work quickly to resolve discrepancies.
- Escalate vendor invoice issues to planners and buyers so they can be negotiated and resolved.
- Coordinate meetings with internal stakeholders and external vendors when needed.
- Maintain contact and representative lists and support vendor outreach efforts.
