Role Overview
The Assistant Manager Events will be responsible for planning, coordinating, and executing various events such as conferences, weddings, banquets, corporate gatherings, and social functions. This role requires managing comprehensive event logistics, ensuring seamless execution, and maintaining high service standards.
Key Responsibilities
- Plan and oversee a wide variety of events ensuring all elements are coordinated effectively.
- Manage event logistics including setup, catering, audiovisual needs, and guest lodging arrangements.
- Build and maintain strong client relationships by understanding their event goals and delivering exceptional services.
- Handle event budgets, negotiate with suppliers, and monitor expenses to optimize profitability while upholding quality.
- Lead, guide, and train the events team including coordinators and support staff following hotel protocols.
- Collaborate with hotel departments such as housekeeping, food and beverage, security, and maintenance to guarantee flawless event delivery.
- Conduct client site inspections and walkthroughs to present venue options and tailor event packages.
- Ensure high event quality by monitoring execution, promptly addressing issues, and prioritizing guest satisfaction.
- Prepare detailed proposals, contracts, and documentation with precise specifications and timelines.
- Generate post-event evaluations, collect client feedback, and implement enhancements for future occasions.
- Identify and pursue sales opportunities to boost event service revenue and market presence.
- Ensure compliance with all health, safety, and security standards during events.
- Maintain detailed event records and databases for reference and client history.
- Work with the sales team to create competitive event packages and promotional campaigns.
Candidate Qualifications
- Bachelor's degree in Hotel Management, Event Management, Business Administration, or a related discipline.
- At least 3 to 5 years of progressive experience in event planning, coordination, or hotel event management.
- Demonstrated success in organizing and managing over 50 events annually across different event types.
- Extensive understanding of event logistics, venue management, and hospitality operations.
- Strong command of English communication skills, both verbal and written; additional language skills are advantageous.
- Ability to manage multiple simultaneous events with strong attention to detail.
- Proficiency in event management software, Microsoft Office applications, and hotel property management systems.
- Excellent negotiation and vendor management capabilities to secure competitive pricing.
